May assist in all phases of the projects, from procurement through close out.\nPrincipal Duties and Accountabilities:\nAssist Project Managers with various clerical and administrative functions associated with any or all phases of U.S. Engineering projects – from procurement through job close out.\nCreate, maintain and/or control all project documentation. Coordinate the distribution of job documents to both internal and external parties, as necessary or as appropriate per company procedures.\nWrite, edit, or transcribe general correspondence and/or project documents. This may include letters, inquiry packages, change orders, purchase orders, subcontract agreements, etc.\nMonitor and document project status and other project information for current, bidding, and targeted projects, via the company’s Intranet operations portal (NEST), company accounting system or other tracking mechanisms.\nMaintain organized filing system for all project documentation, including ensuring that the operations portal (NEST) is kept current.\nInterface with both internal and external individuals involved in the projects, such as project team members, owners, general contractors, subcontractors, and vendors. Maintain ongoing communication related to project, respond to inquiries, seek information and provide information as necessary to ensure the smooth administration of each job.\nUtilize company accounting system to enter or update project data and other pertinent information.\nMay participate in or coordinate special assignments related to project administration in order to improve operational efficiencies.\nProvide reception support and other administrative tasks as needed.\nSet up and manage Procore and Bluebeam sessions.\nKeeping contract documentation – RFI, Submittals and drawings organized and current on Procore.\nAssist with submittal procurement and product procurement/tracking.\nVendor RFP facilitation\nWBS and Work pack tracking.\nBuilding and maintaining internal and external relationships\nJob Scope:\nThe Project Administrator may be responsible for administration of a single project, multiple projects, or all projects within an assigned division – depending on project scope, project location or other considerations. As such, the Project Administrator may report to a single Project Manager or may report to multiple PMs and/or a Regional Vice President of Operations.\n\nEducation & Experience:\nHigh School Diploma or equivalency (GED) required.\nBusiness School or general business administration coursework may be beneficial.\nMinimum of two years administrative support or clerical experience required.\nExperience in construction industry project administration highly preferred.\nKnowledge, skills, and abilities:\nMust possess at least Intermediate level proficiency in MS Office Suite: Word, Excel, and PowerPoint.\nAccuracy with data entry utilizing accounting system.\nSharp attention to detail and superior organizational skills.\nAbility to be flexible and adapt to shifting priorities.\nExcellent communication and writing skills.\nAbility to develop and foster effective professional relationships, internally and externally.\nExcellent time management skills, combined with keen sense of urgency to deliver results and meet project deadlines, etc.\nGeneral knowledge of construction industry and various construction documents is preferred.\nPhysical and/or travel demands:\nOccasional / infrequent (local) travel may be required.\nWork will be done in a typical office environment that will enable comfortable sitting. May also require standing, occasional bending, reaching, stooping, and light lifting. Position involves use of computer keyboard, monitor, telephone, and other office equipment. Occasionally this position will be located in a remote project trailer.\nBenefits and Compensation:\nThe range for this position has been established at $24.65/hour - $34.82/hour per year and is US Engineering’s good faith and reasonable estimate at the time of the posting. The compensation offered to the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.\nYour total compensation will go beyond the number on your paycheck. Team members are eligible for a year-end bonus based on company and/or individual performance as well as paid time off.
