Job Title: Full-Time Assistant to the Sales Manager Company: Photovac Laser Corporation Location: 3513 Farm Bank way, GC, Ohio 43123 Salary: $18.50 per hour Employment Type: Full-time Job Description: Photovac Laser Corporation is seeking a motivated and organized individual to assist the Sales Manager and provide support across various departments, including accounting, bookkeeping, customer service, and the shipping department. This full-time position offers an hourly wage of $18.50, along with earned time off, vacation pay, and paid holidays. The ideal candidate will be proactive, detail-oriented, and able to handle various responsibilities. This role requires excellent communication skills and the ability to work in an easy-going environment. Key Responsibilities: Accounting - Front Office Support: Maintain accurate financial records, including accounts receivable and payable. Assist with data entry, invoicing, and the reconciliation of accounts. Prepare financial reports as needed and support the accounting department in maintaining accurate records. Assist with payroll processing, including tracking employee hours and managing payroll-related documentation. Sales Manager Support: Assist the Sales Manager with administrative tasks, including scheduling meetings, preparing sales reports, managing customer records, and organizing sales data. Act as a point of contact for customers, providing updates and information as needed through the company CRM management program. Coordinate and support sales-related activities, such as preparing quotations, processing orders, and managing client correspondence. Customer Service Follow-Up: Handle customer inquiries and follow up on orders, shipments, and any other concerns. Maintain excellent customer relationships by ensuring timely and effective communication. Managed customer service records and assist in resolving issues to ensure customer satisfaction. Shipping Department Support: Collaborate with the Shipping Department Manager to ensure orders are processed and shipped without mistakes. Assist in tracking shipments, coordinating with couriers, and ensuring that all shipping documentation is accurate and up to date. Includes international shipments. Support and manage inventory levels and ensure timely order fulfillment. Maintaining inventory tracking and accounting for a part. Administrative Tasks: Manage general office duties such as filing, answering phones, handling mail, and organizing documents. Coordinate with other departments to ensure smooth communication and workflow. Qualifications: A high school diploma or equivalent, as well as additional education in business, accounting, or related fields, is a plus. Experience in administrative support, bookkeeping, accounting, or customer service is preferred. Strong organizational and multitasking skills. Proficiency in Microsoft Office (Word, Excel, Outlook) and accounting software (Intuit Enterprise Solutions). Excellent written and verbal communication skills. Ability to work independently and as part of a team.
