As we continue to scale, we are investing in the operational foundation that allows our research teams to do their best work, and the Office Manager is central to that.The RoleWe are looking for a highly organized, proactive, and dependable Office Manager to own the day-to-day operations of Channel Dynamics. This is a broad role that sits at the intersection of administration, finance, and operations. In this role, you will touch everything from consultant payments and expense reconciliation to travel coordination, scheduling, food delivery, and fielding requests from across the team. The right person is a natural problem-solver who takes pride in keeping things running smoothly and creates an environment where the rest of the team can focus on their work.What You Will OwnConsultant PaymentsManage end-to-end processing of all consultant and expert payments accurately and on timeMaintain a clean, up-to-date log of all consultant paymentsLiaise with the research team to confirm call activity and verify payment eligibility before processingFlag and resolve any discrepancies or missing information before payments are issuedAdministration & SchedulingManage and maintain executive calendars, scheduling internal and external meetings with accuracy and forward planningServe as a point of coordination for internal team scheduling, all-hands meetings, and firm-wide calendar managementPrepare meeting materials, agendas, and follow-up notes as neededDraft and manage routine correspondence and communications on behalf of leadershipMaintain organized filing systems for contracts, invoices, HR documents, and operational recordsSupport leadership with ad hoc administrative tasks and special projects as they ariseTravel CoordinationOwn all travel logistics for the team, including flights, hotels, ground transportation, and itinerariesManage travel bookings cost-effectively and in line with company policyPrepare detailed travel itineraries and proactively manage any changes or disruptionsTrack and reconcile travel expenses and ensure timely reimbursement processingOffice ManagementServe as the primary point of contact for all office operations. This includes vendors, building management, supplies, and equipmentMaintain a well-organized, professional office environment that reflects the Channel Dynamics brandManage office supply inventory and place orders proactively to avoid any disruptionsCoordinate workspace setup and building access for new hires as part of the onboarding processLiaise with building management and external vendors, holding them accountable to agreed standardsOffice Hygiene & UpkeepEnsure the office is consistently clean, tidy, and well-presented throughout the working dayManage relationships with cleaning vendors and maintain quality standardsProactively address any hygiene or maintenance issues, escalating as neededCreate a welcoming environment for employees, clients, and visitors at all timesIdeal CandidateWe are looking for someone who is organized, reliable, and energized by the prospect of owning a broad operational role in a fast-paced environment.
