Achieve your potential with ArborWorks!Position SummaryThe Fleet Parts and Support Specialist is responsible for supporting fleet operations by managing parts inventory, coordinating procurement, and providing administrative and technical support to maintenance and operations teams. This role ensures vehicles and equipment remain operational by maintaining accurate parts availability, vendor coordination, and service documentation.Key ResponsibilitiesFleet Parts ManagementManage inventory of fleet parts, tools, and supplies across maintenance locationsOrder, receive, and distribute parts to ensure minimal vehicle downtimeMonitor inventory levels and recommend reorder pointsTrack part usage, warranty status, and core returnsMaintain accurate inventory records in fleet maintenance or ERP systemsFleet Support & CoordinationSupport technicians and fleet staff with parts sourcing and availabilityCoordinate with vendors, dealerships, and service providersAssist with scheduling outside repairs and managing service documentationProcess purchase orders, invoices, and warranty claimsEnsure compliance with company policies and fleet proceduresDocumentation & ReportingMaintain service records, work orders, and maintenance documentationTrack maintenance costs and assist with budget reportingGenerate reports on parts usage, costs, and inventory trendsSupport audits and compliance reviews as neededVendor & Relationship ManagementEstablish and maintain relationships with parts suppliers and vendorsNegotiate pricing, lead times, and return policies when applicableEvaluate vendor performance and recommend improvementsSafety & ComplianceEnsure proper handling, storage, and disposal of parts and materialsSupport fleet compliance with DOT, OSHA, and company safety standardsPromote best practices for maintenance efficiency and safetyRequired QualificationsHigh school diploma or equivalent required; associate degree or technical training preferred2+ years of experience in fleet maintenance support, parts management, automotive, or heavy equipment environmentStrong knowledge of vehicle parts, maintenance processes, or fleet operationsProficiency in inventory management systems and Microsoft Office (Excel, Outlook)Strong organizational, communication, and problem-solving skillsAbility to multitask in a fast-paced environmentPreferred QualificationsExperience with fleet management software (e.g., Fleetio, RTA, Samsara, or similar)Knowledge of DOT compliance and fleet regulationsAutomotive or diesel parts certificationExperience supporting a medium to large fleet (50+ vehicles)Physical RequirementsAbility to lift up to 50 lbsAbility to work in a shop or warehouse environmentOccasional travel between fleet locations may be requiredWork EnvironmentCombination of office, shop, and warehouse settingsMay require flexible hours based on fleet operational needsAll employment offers are contingent upon satisfactory passing of applicable drug screening and background checksEEO Statement:
