KeyState is seeking an Administrative Associate who is detail-oriented, organized, and comfortable supporting high-level business activities in a fast-paced, professional setting. This position supports executive leadership, the investments team, and client-facing professionals while helping maintain an organized, welcoming, and efficient office environment.Duties And ResponsibilitiesBoard Meetings and Client Materials Prepare and assemble client board meeting materials for the Investments team, ensuring confidentiality, accuracy, consistency, and professional formatting. Coordinate scheduling and logistics related to board and client meetings. Executive and Sales Support Provide daytoday administrative support to executives and sales team members. Coordinate calendars, meetings, and logistics across teams. Assist with preparation, packaging, and shipping of client and marketing materials. Office and Operations Support Serve as the onsite contact for building management, parking, and office vendors. Help maintain a polished, organized, and wellfunctioning office environment. Records and Archive Management Maintain and organize internal archives and document inventories. Coordinate record storage and retrieval to ensure accuracy and accessibility. Client Database Support Update and maintain client contact information within KeyState’s client database system with a high level of accuracy and accountability. Front Desk and Client Experience Greet clients and guests and serve as a professional point of contact, creating a welcoming first impression for KeyState visitors. Answer phones and direct inquiries appropriately. Minimum Qualifications Associate’s degree required; Bachelor’s degree preferred. Equivalent combinations of education, training, certifications, and work experience may be considered in lieu of a degree. 3+ years of administrative or office support experience in a professional environment. Experience supporting executives and preparing confidential materials for senior leadership or clients. Strong skills in Microsoft Word, Excel, PowerPoint, and Outlook. Excellent attention to detail and ability to manage multiple priorities independently. Highly organized with strong written and verbal communication skills. Ideal Background Background in financial services, investment, insurance, or professional services. Experience preparing board books, client presentations, or executive materials. Experience using technology, including AI, to automate repetitive tasks withing an administrative function. Familiarity with client databases or document management systems.
