Chief of Staff for the Head of School Office
Strategenius is assisting The Chapin School in hiring for this role. The Chief of Staff in Chapin’s Head of School (HOS) Office is responsible for coordinating major initiatives out of the HOS Office. This role ensures the nimble and efficient operation of the Office and supports the Head of School in achieving overall organizational goals. The Head of School Office has four members: The HOS, Associate Head of School (AHOS), the Chief of Staff and the Administrative Assistant to the AHOS.ObjectivesAssist and communicate with School leadership in decision-making, project/program management and implementation of special initiativesIn collaboration with the Associate Head of School, Division Heads and Administrative leadership, oversee daily HOS Office operationsProvide high-level administrative support to the HOS, acting as a strategic partner by managing complex calendars, handling sensitive information and communications, and preparing materials for meetings and/or presentationsResponsibilitiesManage the HOS’s schedule, meeting transitions, attention to project deadlines and act as the first point of contact for the HOS with parents, trustees and employees for the HOSOversee daily operations of the HOS Office by performing a variety of administrative tasks, including generating correspondence, document management, and track the HOS Office budgetAs a member of the Senior Leadership Team, the COS is responsible for coordination, documentation and participation in the meetings, retreats, and other school-wide initiativesManage all contracts and projects connected with the HOS’s office (e.g. consultants, searches for leadership positions)Partner with the Chief Communications & Strategy Officer and Communications office to ensure the timely dissemination of both internal and external communications from HOS/AHOS, DHs, Nurse and othersCollaborate with division assistants on special initiativesPrepare the official academic calendar for the school in partnership with members of the calendar team and the Coordinator of Student InformationAct as liaison to the Parent Association (PA) for the School to coordinate PA related events and initiativesContribute to the NYSAIS five- and 10-year Accreditation processes by providing general support to the HOS Office for all matters related to maintaining the School’s accreditationQualifications:Bachelor's degree required5+ years in an executive assistant or similar roleProven experience coordinating and organizing multiple teamsProven success in a project management/coordination roleExcellent written and verbal communication skillsExperience with budget management
