Event Planning Manager
Position Overview:The Event Planning Manager’s primary focus is servicing event and group bookings across all Alexa Properties. This role acts as the liaison between Meeting Planners/clients and hotel colleagues to coordinate event details, manage room blocks and billing instructions, and ensure the smooth on-site execution and post-event reconciliation of assigned events.Key Responsibilities:Client partnership and planningServe as primary contact for all groups/events through pre-event planning, on-property execution, and post-event follow-upConduct and support client meetings and site inspections/tours; maintain strong customer relationshipsEvent detailing and internal coordinationAdminister key components of group/event agreements and translate requirements into clear internal documentation and timelinesDetail food & beverage, meeting space set-up, and A/V needs; coordinate with hotel departments and partners to deliver the event as soldManage room blocks, pickup/attrition-related coordination, and operational run-of-show needs aligned to contracted eventsFinancial accuracy and close-outCapture billing instructions, support timely approvals, and complete final review/reconciliation processes consistent with hotel standardsEnsuring overall excellent event quality and providing service recovery as neededAct as on-site contact during event execution: proactively resolving issues, partnering with operations leaders, and protecting the guest/client experienceQualifications & Experience:1-3 years in hotel event planning, event sales, catering/events, or comparable experience preferredProficient in general computer knowledgeAbility to work a flexible schedule aligned to event business needs (including some evenings/weekends/holidays)Core Competencies:Strong organization, accuracy, multitasking, and time managementExcellent verbal and written communication skills to effectively relay expectations between clients and propertiesMaintain composure and objective decision-making under high-pressure scenariosProactive problem-solving skills, with the ability to anticipate, identify, and resolve issues efficientlyStrong listening and interpersonal skills, ensuring effective collaboration with colleagues, vendors, and clientsExceptional time management skills to prioritize tasks and meet deadlinesCommitment to consistent attendance and reliability in day-to-day responsibilitiesA desire to create memorable experiences
