This role supports efficient office operations, communication, scheduling, documentation, and day-to-day organizational coordination.The ideal candidate is organized, proactive, adaptable, detail-oriented, and aligned with the organization’s mission and community-centered work. This position also offers the opportunity to help strengthen and shape organizational systems during an exciting period of organizational growth.Essential Duties & ResponsibilitiesOffice & Administrative OperationsOversee daily office operations to support an organized, efficient, and professional work environmentPerform administrative responsibilities including filing, scanning, document organization, data entry, records management, and general office supportOrganize and manage electronic and physical filing systemsMonitor office supply inventory and facilitate purchasing and restocking needsSupport administrative workflows, operational processes, and internal systemsTrack administrative tasks, operational priorities, and organizational follow-throughEnsure organizational records and documentation remain accurate and currentSupport implementation and consistent use of organizational systems, workflows, and operational practicesCommunication & Organizational SupportServe as a primary point of contact for office communications, visitors, vendors, and administrative inquiriesAnswer and direct phone calls, emails, and general office communications in a professional and timely mannerManage scheduling for meetings, appointments, organizational activities, and internal coordination needsPrepare and distribute reports, correspondence, meeting materials, and organizational documentsSupport communication and logistics between leadership, staff, volunteers, community partners, and external stakeholdersLeadership & Operational SupportProvide administrative and operational support to leadership and organizational initiativesAssist with meetings, trainings, events, and community-related activitiesSupport organizational events and occasional evening or weekend responsibilities as neededIdentify opportunities for administrative process improvements and operational organizationSupport accountability and consistency across administrative and operational functionsConfidentiality & Professional StandardsProtect the confidentiality of sensitive organizational, employee, donor, program, and operational informationExercise professionalism, sound judgment, discretion, and accountability in all interactions and responsibilitiesComply with organizational policies, procedures, and operational expectationsDemonstrate dependable attendance and punctuality consistent with organizational needsPerform additional administrative and operational duties as assigned to support organizational needsRequired QualificationsHigh school diploma or equivalent requiredTwo to three years of administrative, office management, operations support, or related experience strongly preferredDemonstrated commitment to community engagement, relationship-building, or mission-driven work strongly preferredStrong alignment with the organization’s mission and valuesSelf-starter with the ability to work independently and take initiative with minimal oversightComfortable creating, organizing, and operating within systems and processesStrong organizational, time management, and multitasking skillsStrong written and verbal communication abilitiesDemonstrated ability to manage multiple priorities and deadlines effectivelyProficiency in Microsoft Office Suite and/or Google Workspace applicationExperience managing calendars, shared documents, scheduling, and administrative systems preferredAbility to handle sensitive information with professionalism and discretionStrong attention to detail, organization, and follow-throughPreferred QualificationsPrior nonprofit or mission-driven organization experience preferredExperience supporting office operations, executive support functions, or administrative support preferredExperience working in collaborative, fast-paced, or growing environments preferredCore CompetenciesAdministrative and operational organizationCommunication and interpersonal effectivenessProfessionalism and confidentialityInitiative and problem-solvingAdaptability and flexibilityTime management and prioritizationOperational follow-through and accountabilityCustomer service and relationship managementPhysical RequirementsAbility to remain stationary for extended periods while working at a computerAbility to frequently communicate and exchange information with staff, visitors, and stakeholdersAbility to occasionally lift and move office materials and supplies up to 20 poundsAbility to move throughout the office to support operational and organizational needsWork Environment & ScheduleThis position operates fully on site in a professional office environment and requires consistent in-person attendance during scheduled working hours.Reports To: Executive Director or Assigned Leadership RepresentativeClassification: Full-time, hourly Regular office hours are Monday through Friday, 9:00 AM – 3:00 PM. Additional hours outside of the standard schedule may be required to support organizational events, community activities, meetings, and operational responsibilities. Total weekly hours are expected to average approximately 40 hours per week.Work Location: 100% On SiteHourly Rate: $25.00 Benefits include paid time off and professional development opportunities. Medical, dental, and vision benefits are not currently offered at this time.
