Administrative Assistant
Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities
Manage front desk duties, greeting visitors and directing them appropriately with professional phone etiquette
Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
Perform data entry, proofread documents, and ensure accuracy in all clerical tasks
Support calendar management and scheduling for team meetings, appointments, and events
Handle general office management duties such as ordering supplies, maintaining office equipment, and overseeing day-to-day operations
Provide exceptional customer support by responding promptly to inquiries via phone or email and assisting clients or visitors as needed
Experience
Proven office experience with strong organizational skills and attention to detail
Prior clerical experience in a fast-paced environment emphasizing customer service excellence
Familiarity with multi-line phone systems, Google Workspace (formerly G Suite), Microsoft Office Suite (Word, Excel, PowerPoint), and basic data entry skills
Bilingual abilities are highly desirable to serve diverse clientele effectively. i.e. Russian or Spanish
Experience with office management tasks such as filing, proofreading, calendar management, and supply ordering is preferred
Demonstrated ability to handle phone etiquette professionally and manage time effectively in busy settings
