We are seeking a polished and highly professional Community Ambassador / Receptionist & Meeting Coordinator to support a dynamic corporate office environment in downtown Chicago. This is a unique one-person operation, ideal for someone who thrives in a fast-paced setting, enjoys taking ownership, and can confidently wear multiple hats.This individual will serve as the face of the office while managing event coordination, conference services, and administrative functions. The ideal candidate is proactive, detail-oriented, and capable of working autonomously while delivering an exceptional client and employee experience.Job Title: Community Ambassador / Receptionist & Meeting CoordinatorLocation: Chicago, IL 60601Schedule: Monday – FridayPay Rate: $29–$30 per hourKey ResponsibilitiesEvent & Meeting CoordinationPlan and execute internal events, including attorney meetings, firmwide gatherings, and practice group functions.Coordinate client meetings, ensuring all logistics, room setups, and catering needs are met.Manage all internal catering services, partnering with vendors to ensure high-quality delivery.Collaborate with internal departments to align events with company culture and objectives.Maintain detailed documentation of event logistics, setups, and best practices.Conference Services CoordinationEnsure all conference rooms and event spaces are properly maintained, set up, and fully equipped.Serve as the primary point of contact for all meeting and event-related requests.Provide training and guidance to maintain high service standards when applicable.Administrative & Financial ManagementCode and submit invoices for event-related expenses using Aderant, ensuring accuracy and complianceNegotiate vendor pricing and manage contracts for catering and event servicesTrack budgets and expenses to support cost-effective event executionCollaboration & Client RelationsDeliver a high-touch, hospitality-driven experience for clients and internal stakeholders.Support initiatives that enhance workplace experience and service deliveryAssist with cross-functional projects aligned with company goals.Reception & Office Services SupportProvide reception coverage, including greeting guests and managing calls.Cover receptionist duties during breaks and as needed.Support print, mail, and general office service requestsPerform records management tasks in accordance with company policies.Conduct basic IT support, including conference room technology setup, testing, and troubleshooting (escalating issues when necessary)Remain mobile throughout the office to assist staff as needed.QualificationsPrevious experience in hospitality, office services, workplace experience, or corporate receptionStrong event planning and meeting coordination experience preferredExcellent communication and interpersonal skillsAbility to work independently and manage multiple prioritiesHighly organized with strong attention to detailProfessional demeanor with a client-first mindsetComfortable working with technology and troubleshooting basic AV/IT issuesWhat We're Looking ForA self-starter who takes full ownership of their roleSomeone adaptable who can thrive in a newly established office environmentA polished professional who represents the organization with confidenceA team-oriented individual who can also work autonomouslyWhy Join UsThis is an exciting opportunity to build and shape the workplace experience in a growing office.
