OverviewThe Production Support Specialist is responsible for the end-to-end operational execution, verification, and auditing of inbound production, shipping, invoicing, and manufacturing costs. This role supports Production, Accounting, Operations, and Logistics by ensuring all physical product, shipment data, vendor billing, and insurance activity is accurately received, documented, audited, and maintained within NetSuite and related shipping systems.This position requires strong attention to detail, comfort working across multiple systems, and the ability to manage vendors, factories, and logistics partners with clarity and accountability.Job DetailsJob Title: Production Support SpecialistReports To: Director of ProductionStatus: ExemptLocation: Los Angeles, CAPosition OverviewThe Production Support Specialist is responsible for the end-to-end operational execution, verification, and auditing of inbound production, shipping, invoicing, and manufacturing costs. This role supports Production, Accounting, Operations, and Logistics by ensuring all physical product, shipment data, vendor billing, and insurance activity is accurately received, documented, audited, and maintained within NetSuite and related shipping systems.This position requires strong attention to detail, comfort working across multiple systems, and the ability to manage vendors, factories, and logistics partners with clarity and accountability.ResponsibilitiesProduction Receiving & Inbound LogisticsReceive and verify all incoming production shipments against corresponding Purchase Orders in NetSuite.Physically receive, separate, and organize incoming production by warehouse and destination.Confirm quantities, SKUs, styles, and shipment contents match POs, packing slips, and shipping documentation.Create and manage Inbound Shipment records in NetSuite for all incoming production.Monitor shipments in transit and flag discrepancies or delays.Investigate vendor shipping, packing, and invoice errors and coordinate directly with vendors to correct ongoing issues or implement chargebacks when necessary.Shipping, Insurance & Claims ManagementManage shipping activity within NetSuite, ensuring all shipments are accurately recorded and insured.Prepare and maintain monthly shipping and insurance reports for Parcel Pro and Shipsurance.Set up and manage vendor shipping portals within Parcel Pro, enabling vendors to create labels and insure shipments on the company's account.Create production vendor shipping labels as required.Handle international shipping claims, including gathering and submitting required customs documentation.Support setup and maintenance of APIs with Parcel Pro to automate shipment and insurance reporting.International Shipping, Customs & ComplianceCoordinate international shipping documentation to support customs clearance and financial reconciliation.Confirm duties and taxes with logistics partners and validate accuracy against government requirements.Maintain and update processes and documentation related to changing international shipping and customs regulations.Support EDI integrations with customers and vendors to automate workflows and reduce manual data entry.Invoicing, Costing & Accounting SupportCollect, review, and submit all vendor and factory invoices to Accounting for payment processing.Enter vendor bills and invoices into NetSuite, ensuring alignment with Purchase Orders, SKUs, quantities, and agreed pricing.Audit production and manufacturing costs, including:Gold weights and expected lossStone usage and pricingUnit costs versus negotiated pricingPerform cost auditing for production vendors and escalate discrepancies to Production and Accounting.Create and maintain vendor chargeback agreements when applicable.Support vendor pricing review and negotiation efforts with Production leadership.Vendor Auditing, Quality & Damage ProcessingAudit vendor activity within NetSuite for accuracy across shipping, billing, and production records.Set and help enforce quality standards for incoming production.Identify and document defective products and manufacturing issues.Process vendor damage claims and coordinate resolution with factories and logistics partners.Maintain clear records of defects, damages, and corrective actions.Returns & Factory CoordinationCoordinate all product returns with factories, including shipping documentation and tracking.Notify and loop in Accounting on all returns to ensure accurate financial treatment.Maintain records of returned goods and ensure system updates are completed correctly.Qualifications & SkillsExperience in production support, supply chain operations, or manufacturing administration.Strong working knowledge of NetSuite or similar ERP systems.Experience with shipping platforms, insurance tools, and logistics workflows (Parcel Pro, Shipsurance preferred).Familiarity with international shipping, customs documentation, duties, and taxes.Understanding of manufacturing costing, including materials, weights, loss, and component pricing.High attention to detail with strong auditing and reconciliation skills.Ability to communicate clearly and confidently with vendors, factories, and internal teams.Jewelry manufacturing experience strongly preferred.Additional QualificationsExcellent written and verbal communication skills.Detail-driven, solution-oriented, and process-focused.Professional, friendly demeanor with an appreciation for fashion and product quality.Experience with Shopify and Gorgias is a plus.Must be on-site in Sherman OaksAdditional InformationActual salary offer may vary based on work experience.
