The Executive Assistant will provide high-level administrative support and customer service to our Chief Executive Officer (CEO).\nThe Executive Assistant must act with integrity, be committed to achieving organizational goals, take responsibility for mission achievement, hold accountability, and demonstrate flexible thinking by starting with yes.\nMajor Job Responsibilities and Duties:\nExecutive Support:\nEffectively manage and maintain the Chief Executive Officer (CEO) calendar, schedule and plan conferences, teleconferences, travel including itineraries, transportation and\nPrioritize and manage multiple projects with minimal guidance.\nCompose and prepare letters relating to routine correspondence for the CEO’s signature.\nSchedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.\nServe as a point of contact between the CEO and internal/external stakeholders, community members, partners and future collaborators.\nProvide consistent follow through on issues, challenges, requests, and concerns in a timely manner.\nCollaborate and assist other departments or stakeholders in planning and coordinating events, including conferences, meetings, and workshops where the CEO will be in attendance.\nPrepare reports, presentations, and other documents for internal and external meetings as assigned.\nManage and reconcile expense reports for the CEO and C-suite officers monthly.\nFile and maintain important annual documents as required by partners and assist with other compliance related tasks.\nCreate or update standard operating procedures (SOPs) as needed.\nIdentify administrative process deficiencies or inefficiencies and make recommendations for improvement to the CEO.\nReact with appropriate levels of urgency to situations and events that require quick response. Effectively pivot and successfully perform duties under tight deadlines.\nOffice Management and Board Support:\nMaintain an organized and efficient office space in accordance with Compudopt’s safety policy.\nAssist in the selection of vendors and purchase equipment and services necessary for the operation of the organization.\nAttend all board meetings, take minutes, support the preparation of the board package, and ensure its upload/dissemination.\nPerform all tasks associated with board meeting communication and set up, including but not limited to timely communication of all applicable information to expected attendees, printing all required documents, reserving and setting up meeting area, and ordering meals for meeting attendees.\nAdhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.\nEffectively maintain archives and provide historical reference by developing and utilizing filing and retrieval of meeting discussions.\nProvide support in the planning and execution of organization offsite events.\nSpecial Project Support:\nCollaborate and assist with events, special initiatives, logistics and execution of projects including but not limited to conducting research, gathering data, and preparing materials for presentations as needed and directed by the CEO.\nCommunication Liaison:\nDraft, proofread, and send correspondence internally and externally as directed by the CEO.\nMaintain a professional demeanor and tone during all verbal and electronic communication exchanges.\nInvest and cultivate in the building of long-lasting relationships both internally and externally\nConfidentiality and Integrity:\nMaintain a high level of integrity and discretion in handling confidential information.\nOther duties as assigned.\nQualifications:\nRequired:\nHS Diploma or GED\nA minimum of two years’ experience supporting C-suite officers as an executive or administrative assistant\nPreferred:\nAssociate degree\nBilingual\nThree or more years’ experience supporting C-suite officers in a nonprofit or clerical environment.\nSpecial Knowledge/Skills:\nExcellent organizational skills with an ability to think proactively and prioritize work.\nStrong communication skills (via phone, email and in person)\nAbility to pay close attention to detail.\nProficiency with Microsoft Office\nAble to work with minimal supervision.\nCompudopt provides equal employment opportunities (EEO) to all employees and applicants for employment without regard to race, color, religion, sex, national origin, age, disability, or genetics.
