This role is ideal for someone with exceptional attention to detail who thrives on structure, accuracy, organization, and continuous process improvement. The position will support administrative operations, office management functions, employee onboarding, and project closeout activities while ensuring all documentation is properly maintained, tracked, and audit-ready.\n\nKey Responsibilities:\nMaintain, organize, and control all project and company documentation (digital and physical files)\nEnsure accurate version control and proper distribution of contracts, permits, compliance documents, drawings, and job files\nCoordinate and manage project closeout documentation, including collecting warranties, lien waivers, as-builts, manuals, certifications, and final project records\nSupport onboarding processes, including preparing new hire documentation and maintaining personnel records\nOversee administrative office functions to ensure smooth day-to-day operations\nTrack and manage documentation related to job costs, purchasing, and invoicing\nCoordinate with project managers, vendors, subcontractors, and field teams to collect, verify, and file required documentation\nDevelop and maintain efficient filing systems and document workflows\nAssist leadership with reporting, compliance tracking, audits, and special projects as needed\n\nQualifications:\nStrong administrative, document control, or office management experience, preferably in construction or a blue-collar environment\nExperience managing project closeout documentation and turnover packages preferred\nExceptional attention to detail with the ability to identify discrepancies quickly\nAdvanced proficiency in Microsoft Excel (required)\nExperience with Google Docs/Google Workspace (a plus)\nExperience managing onboarding paperwork and compliance documentation preferred\nAbility to multitask while maintaining a high degree of accuracy\nStrong communication skills and a proactive, team-oriented mindset\nReliable transportation and ability to commute to Muskogee as needed\nMust be able to pass a background check and drug screen\n\nTalentMatch ®\n\nRobert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
