Project Accountant
Job Title: Project AccountantDepartment: AccountingReports To: CFOLocation: In-Office – New York, NYEmployment Type: Full-TimeJob Summary:The Project Accountant is responsible for managing all project-related billing and accounting activities from project setup through closeout. This role works closely with the CFO, project managers, subcontractors, and clients to ensure accurate, timely, and compliant invoicing in accordance with contract terms, proposals, and applicable NYC and NYS agency requirements. The Project Accountant will oversee monthly billings, monitor project financial data within Sage 300 and Procore, resolve billing discrepancies, and support collections efforts, while maintaining organized project records and providing financial reporting support to the accounting team. This position plays a critical role in supporting project execution and maintaining strong internal and external financial communication. Key Responsibilities:Billing & Collections – coordinate with project managers & CFO on items per proposals.Create invoicing for multiple entities with similar services.Monitor the status of existing projects in the accounting system.Effectively communicate with Project Managers regarding contract documents, change orders and other contract modification, approvals, and any additional service related to billing.Compile, analyze, & process a high volume of project bills to clients on a monthly basis.Work closely with project managers to ensure that invoices are accurate and comply with corporate guidelines.Review weekly field timesheets to ensure that they have been submitted and approved prior to invoicing.Coordinate with subcontractors to receive certified payroll report.Maintain project billing folder and accounting system (SAGE300 & PROCORE) to ensure all invoices and other project related documents are readily accessible for project managers & accounting department.Communicate professionally with project managers, clients and other staff providing accurate information and timely responds to inquiries and completion of assignments.Investigate billing errors and resolve discrepancies.Assist with special projects as needed.Provide support to other accounting staff.Prepare various monthly billing & supporting reports.Monitor accounts & take appropriate actions with customers to arrange for payment, issue monthly statements & billing items as per proposals.Reviews and ensures accuracy of vendor invoices prior to billing clients.Performs other duties as assigned by CFO.Qualifications & Experience:Associates or Bachelor’s Degree in Accounting/Finance or similar field.1-3 years of billing experience in Construction contracting related industriesAIA experience preferredNYC and NYS Agency Billing preferredSage 300 & PROCROE experience preferredExcellent analytical and problem-solving skillsStrong written and verbal communication skillsMust be proficient in Microsoft Office (Excel and Word) and Outlook, E-Filing, scanning, and mailingStrong attention to detail is requiredWell organized and task orientedCompensation & Benefits:Primarily in-office with hybrid alternating on Friday.The estimated pay range for this position in New York is $75,000 – 92,000. Please note that this pay range represents a good faith estimate for the position at the time of posting.
