ADMINISTRATIVE ASSISTANT

Administrative AssistantThe Administrative Assistant plays a crucial role in supporting the day-to-day operations of our heavy duty semi-trailer repair shop. This role serves as the primary point of contact for technicians and managers, supports the scheduling and workflow of technicians, and ensures the smooth handling of all administrative functions. The ideal candidate will have strong communication skills, excellent organizational skills, attention to detail, a proactive attitude, and preferably some familiarity with diesel engines or heavy-duty trucks.Key Responsibilities:Maintain service calendars and coordinate with technicians for job scheduling.Process invoices, repair orders, and work estimates.Manage shop email and correspondence.Maintain digital and physical filing systems, including customer records and parts invoices.Order office and shop supplies as needed.Ensure a clean, organized, and professional office environment.Support the management team(s) with additional administrative tasks as needed.Minimum Qualifications:This position is stationed inside a secured facility and requires a background checkHigh school diploma or equivalent.1+ years of administrative or customer service experience, preferably in an automotive or service-related environment.Proficiency with office software (Microsoft Office, Google Workspace, QuickBooks, etc.).Strong organizational and multitasking skills.Excellent communication and interpersonal abilities.Knowledge of basic automotive terminology is a plus.Preferred Qualifications:Experience in an automotive / truck repair facility a plusExperience in freight movement company a plusWork Environment:This role is performed in an office setting located in a working repair shop.
