Practice AdministratorBelow covers everything you need to know about what this opportunity entails, as well as what is expected from applicants.As the Practice Administrator, you will serve as the operational leader for Charlottesville Dermatology, a high-volume, medical-surgical practice. With a team of 4 providers, your mission is to manage the high-efficiency throughput required for medical dermatology, ensuring exceptional patient care and rigorous operational standards.We have a Nua Medical Spa division under the same roof which you will oversee some aspects thereof, but not day-to-day operations.Executive Responsibilities1. Medical Operations & WorkflowClinical Scheduling: Manage the complex scheduling needs of 4 providers, prioritizing high-volume medical clinic needs including exams, biopsies, and surgeries.Facility Management: Oversee the physical flow of the facility, ensuring "back-of-house" clinical efficiency and smooth "front-of-house" patient coordination.Staff Leadership: Lead a dedicated support team of Medical Assistants, Patient Coordinators, Schedulers, and Medical Billers.2. Financial ManagementMedical Revenue Cycle: Supervise high-volume insurance billing, coding, and CMS compliance.Practice Financials: Analyze reports generated by the bookkeeper/accountant to ensure full transparency and informed decision-making.Data Analysis: Utilize the reporting capabilities of our EMR (Electronic Medical Records) system for performance tracking and strategic analysis.Administrative Finance: Manage payroll, retirement benefits, and ensure all practice bills and insurance coverages are maintained and optimized.3. Patient Experience & Quality AssuranceClinical Precision: Ensure every medical patient receives care defined by clinical excellence and operational speed.Quality Standards: Maintain rigorous clinical standards for all medical and surgical procedures.4. Compliance, HR & CultureRegulatory Oversight: Ensure the practice meets HIPAA, OSHA, and Virginia Board of Medicine requirements, with specific attention to surgical room protocols and annual MIPS reporting.Benefits Administration: Manage annual healthcare renewals and benefit shopping for the staff.Team Culture: Foster a professional, unified culture that supports the high-demand nature of a busy medical practice, perform and oversee hiring and onboarding of new support staff as needed and all of the HR activities that accompany those processes.QualificationsExperience: 3+ years in Medical Practice Management.Software Mastery: Advanced proficiency in dermatology-specific EMR (e.g., Nextech). xaygatp Leadership Style: A "calm-under-pressure" leader capable of managing a fast-paced surgical environment and complex clinical workflows.
