Call Center Specialist

Candidate Qualifications:
6 months dental/receptionist experience (preferred but not necessary)
Must be a team player
Self motivated and carries a team player mentality
Attention to detail and accuracy in data entry and record keeping
Excellent organizational skills with the ability to multitask and prioritize tasks effectively
Must be dependable and punctual
Great communication skills
Duties (including but not limited to):
Customer Service Excellence: Maintain a friendly, helpful demeanor at all times, providing exceptional customer service to enhance the patient experience and foster patient loyalty.
Answering Calls: Handle incoming calls from patients, dentists, and other healthcare providers in a professional and courteous manner.
Scheduling Appointments: Coordinate and schedule patient appointments based on availability of dentists and patient preferences.
Patient Registration: Collect and enter patient demographic and insurance information accurately into the system.
Handling Emergencies: Manage dental emergencies by assessing the situation, scheduling urgent appointments, and providing initial patient care instructions.
Coordination of Referrals: Assist in coordinating referrals to specialists or other healthcare providers as recommended by the dentist.
Patient Communication: Answer phone calls from patients, addressing inquiries about appointments, treatments, insurance, and general office policies. Collect patient dental insurance information for the front desk to verify.
Handling Complaints: Listen to patient complaints or concerns and escalate to the appropriate supervisor or manager if necessary.
Billing and Payment Processing: Process payments and handle simple patient billing inquiries. Ensure accuracy in financial transactions and record-keeping.
Maintaining Patient Records: Keep detailed and accurate records of patient interactions, appointments, and messages in the Carestack system. Maintain patient confidentiality, compliance with HIPAA regulations and the security of patient information.
Training and Development: Stay updated on dental office procedures, insurance protocols, and customer service best practices through training sessions.
Team Collaboration: Work collaboratively with dental office staff and other healthcare professionals to ensure seamless patient care and service.
