Guided by our core values of collaboration, transparency, and service, we help clients successfully plan, design, and construct projects that strengthen the communities they serve.\nConstruction Project Coordinator (PC)\nRole\nWenaha Group, Inc. is seeking a Construction Project Coordinator for a full-time, on-site position in Pendleton, Oregon.\nThis role involves assisting and monitoring project plans, schedules, work hours, assisting with budget tracking, organizing and participating in stakeholder meetings, and ensuring that project deadlines are met in a timely manner.\nTo be successful as a Construction Project Coordinator, you will need to be able to effectively communicate and collaborate with diverse groups of people, demonstrate a strong skill set for meeting tight deadlines, be competent in using software applications, including the Microsoft Office suite (Word, Excel, PowerPoint, SharePoint, and Teams), Bluebeam, project management software (ProCore, Autodesk Construction Cloud), and virtual meeting software (Zoom), and have exceptional verbal, written, and presentation skills.\nSalary Range\n$26.93 to $35.00 per hour depending on contribution, experience, and location.\nTechnical Competencies\nSupport internal team members and external clients, subcontractors, and vendors that comply with Company procedures and standards.\nEfficiently and effectively process, organize, copy, and file project management-related forms and documents including RFI’s, submittals, contracts, cost documents, processing of change orders, and enter requests for payment.\nReceive, review, process and track all contractor and consultant invoices. Ensure proper approvals are obtained and submitted to clients on their required schedule.\nWork with project managers to track all costs for projects and ensure accuracy in our records and reporting.\nAssist project managers with submission of regulatory or funding requirements for individual projects.\nAccurately collect and organize information and data from project management systems, and other sources into Company reports.\nAs necessary, set up and maintain user access, as well as the workflow of teams in ProCore (as assigned).\nPrepare project bid/RFQ solicitations for publication as assigned, maintaining detailed records for audit purposes.\nAssist project team members in bidding and closeout by efficiently managing the collection of documentation from trade partners.\nAssist with presentation and document preparation. Collaborate with multiple contributors to ensure all persons have the necessary input/information.\nPrepare non-technical correspondence (letters, memos, meeting notes, and proposals) and review outgoing materials for conformance with the Company’s brand standards, practices and formats.\nAssist with new hire process (local/project orientations, or as assigned).\nProvide support on complex internal calendar scheduling and ensure all participants are informed of critical information.\nGreet and assist incoming visitors providing a warm, welcoming environment.\nAssist with securing interpreting and translation supports in various languages as needed.\nAssist with meeting preparation: securing venue, catering if applicable, meeting supplies, and technology.\nProcess and distribute mail and deliveries.\nOrganization and supply inventory for all the office shared spaces.\nProject file archiving and storage.\nSupport visiting internal team members needing conference rooms, offices, or workspaces.\nGeneral technology support for all office equipment (copiers, plotters, phones, video conference, etc.)\nDemonstrate willingness and ability to work collaboratively and cross-functionally to obtain information or solve problems in support of the team’s goals.\nExercise discretion and integrity with highly confidential and sensitive information.\nActively participates in all aspects of the project-specific safety plan and culture.\nRead, interpret, and communicate construction drawings, specifications, addenda, ASIs, sketches, and other contract documents to support accurate field execution.\nPrepare, route, track, and follow up on RFIs to help resolve design, coordination, and constructability questions in a timely manner.\nManage the submittal and shop drawing process, including maintaining submittal logs, reviewing for general conformance, coordinating design team responses, and distributing approved information to the field.\nMaintain current project document control systems so the project team has access to the latest drawings, specifications, RFIs, submittals, and change order documents.\nSupport procurement tracking by coordinating long-lead materials, buyout documentation, delivery dates, and required approvals with the Project Manager.\nAssist with schedule updates, look-ahead planning, and coordination of general contractor activities to help identify constraints, delays, and required follow-up actions.\nCollaborate with the Project Manager to document daily progress, site conditions, quality observations, punch list items, and safety-related follow-up.\nAssist with change management by gathering backup documentation, tracking potential change items, supporting quantity takeoffs, and helping prepare change order requests.\nSupport project closeout by tracking punch list completion, as-built documentation, O&M manuals, warranties, attic stock, training requirements, and final turnover materials.\nOther relevant support tasks as requested.\nQualifications\nAt least three (3) years of relevant construction project management or related office admin experience is required for consideration.\nOpen-minded, willingness to engage in learning new skills for continuous self-improvement in all aspects of the work.\nAbility to learn and use a variety of software, tools and systems necessary to meet business needs.\nHigh level of customer service to internal and external customers.\nHighly motivated with the ability to multi-task.\nProficiency at the intermediate or higher level in MS Word and Excel.\nStrong organizational skills, attention to detail, and prioritization.\nTeam focus with the initiative to work individually.\nDisciplined work ethic.
