The person will help keep leadership development initiatives organized and moving forward by coordinating schedules, maintaining documentation, tracking deliverables, managing communications, supporting meetings and events, collecting and organizing data, and preparing reports and presentations. The role serves as the operational backbone for leadership development activities, ensuring programs run smoothly and stakeholders stay informed. Success in this role depends on being highly organized, detail-oriented, proactive, and comfortable working with executives, stakeholders, and cross-functional teams while managing multiple priorities simultaneously. The role is approximately 60% program coordination and administration, 20% communications and documentation, and 20% reporting and stakeholder support. It is much more about organization, execution, and operational support than strategy, facilitation, or instructional design.\n\nBasic Description\nProvide operational, programmatic, and administrative support for Executive Leadership Development programs and related team priorities. This role will help reduce backlog, support program delivery, maintain documentation, and coordinate logistics, communications, data, and planning activities.\n\nResponsibilities\nSupport program operations, logistics, scheduling, communications, and follow-up activities.\nMaintain and organize program documentation, trackers, playbooks, and templates.\nAssist with preparing program materials, participant communications, reports, summaries, and presentations.\nTrack program tasks, deliverables, milestones, risks, and action items to support on-time execution.\nSupport data collection, organization, and synthesis related to program participation, feedback, and outcomes.\nCoordinate with internal partners and team members to support program needs.\nProvide behind-the-scenes support for executive leadership development programs and related team priorities.\n\nQualifications and Soft Skill Requirements\nExperience supporting program management, project coordination, learning and development, leadership development, or related business operations.\nStrong organization, follow-through, attention to detail, and ability to manage multiple priorities.\nStrong written and verbal communication skills.\nAbility to work collaboratively with team members, stakeholders, and partners.\nProficiency using Microsoft Office tools, including Outlook, Teams, Word, PowerPoint, Excel and Co-Pilot.\nAbility to work independently, ask clarifying questions, and keep work moving with minimal direction.\n\nDesired Skills\nExperience supporting executive leadership development, talent development, coaching, or learning programs.\nExperience creating or maintaining program playbooks, trackers, SharePoint sites, templates, and communication materials.\nExperience coordinating logistics for meetings, workshops, learning sessions, or in-person program events.\nExperience synthesizing information from data, surveys, notes, or stakeholder input into concise summaries.\nSystem One, and its subsidiaries including Joulé and Mountain Ltd., are leaders in delivering outsourced services and workforce solutions across North America.
