This role is central to ensuring office operations run smoothly, budgets are effectively managed, and employees feel connected through thoughtfully planned events and engagement activities. The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced environment with multiple stakeholders.\n\nThis position is located in our San Francisco Office and follows a hybrid schedule of at least 3 days in the office (Tue-Thu) with in-person meetings on Mondays and Fridays, when needed. This is an exempt full-time position.\n\nKey Responsibilities\n\nOffice Management & Front Desk Operations\n\nFront-of-House Excellence: Oversee daily San Francisco office operations, serving as the primary point of contact for guests, employees, and vendors to ensure a professional arrival experience.\n\nSpace Optimization: Manage seating arrangements, floor plans, and meeting room systems to support a dynamic hybrid work model.\n\nSafety & Security: Own all access protocols, including badge management, security system oversight, and compliance with health and safety standards.\n\nFacilities Liaison: Act as the lead point of contact for building management regarding maintenance, repairs, and office functionality.\n\nLogistics & Onboarding: Manage shipping/receiving, courier coordination, and the physical setup for new hire orientations.\n\nVendor Management & Facilities Coordination\n\nStrategic Partnerships: Source and manage relationships with all US service providers, including janitorial, Food & Beverage (stocking/snack programs), and maintenance servicing the assigned office.\n\nInfrastructure Support: Coordinate office moves, expansions, and space planning in collaboration with Real Estate and leadership teams.\n\nProcurement: Oversee the lifecycle of office supplies and equipment, ensuring high-quality standards and consistent stocking levels available for office consumption.\n\nEmployee Engagement & Cultural Programming\n\nEvent Design: Plan and execute a diverse calendar of in-person and virtual events, including social and wellness activities,holiday celebrations, striving for alignment with other offices’ activities to ensure a seamless experience across locations.\n\nDepartmental Support: Partner with business leaders to facilitate high-stakes gatherings such as leadership summits, team off-sites, and community initiatives.\n\nCulture Building: Collaborate with the People Team to champion engagement committees and translate company values into tangible workplace experiences.\n\nCommunications: Manage internal announcements regarding office updates, events, and workplace initiatives.\n\nFinancial Oversight & Operational Excellence\n\nBudget Tracking: Monitor all expenses related to the Workplace Experience function for the assigned office, tracking monthly spend against forecasts and reporting variances to leadership.\n\nFinancial Administration: Process purchase orders (POs) and invoices, ensuring accurate cost allocation in partnership with Finance and Procurement.\n\nData-Driven Improvement: Implement tools to track Workplace KPIs, including event participation rates, budget adherence, and employee satisfaction scores.\n\nFeedback Loops: Monitor employee feedback channels to proactively identify and implement improvements to office design and services.\n\nQualifications\n\n1-3 years of experience in office management, workplace operations, or facilities management, preferably in a fast-growing or multi-office environment.\n\nExperience managing budgets, processing invoices, and vendor negotiations.\n\nProven ability to organize and execute engaging events and employee programs.\n\nExcellent organizational, problem-solving, and multitasking skills with strong attention to detail.\n\nStrong interpersonal and communication skills; able to partner effectively across People, Finance, Procurement, and external vendors.\n\nStrong ownership and self-initiative, bias for action and continuous learning and improvement.\n\nProficiency with workplace tools and systems (e.g., ZIP, BREX, Coupa, Brivo, Sharebite, Google Workspace, Workday) is a plus.\n\nBachelor’s degree in Business Administration, Hospitality, Human Resources, or related field preferred.\n\nPhysical & Work Environment Requirements\n\nAbility to perform duties in a professional office environment, including extended periods of standing, walking, and desk-based work.\n\nAbility to occasionally lift, move, or carry office supplies, equipment, and event materials (typically up to 25–30 pounds).\n\nAbility to set up meeting rooms, events, and office spaces, which may involve bending, reaching, and light physical activity.\n\nAbility to respond to on-site operational needs, including navigating multiple office areas throughout the day.\n\nReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of this role.\n\nAdditional Information\n\nBring all of you to work\n\nWe create the conditions for high performers to thrive, through real ownership, fewer blockers, and work that makes a difference from day one.\n\nHere, you’ll move fast, take on meaningful challenges, and be recognized for the impact you deliver.
