Manager of Practice Systems & IntegrationReports To: Chief Executive Officer / Executive Leadership Travel Requirement: Up to 30-40% Location: Hybrid / Remote with Travel as NeededPosition Summary Phase 1 Equity is seeking a highly strategic and execution-focused Manager, Practice Systems & Integration to lead the successful onboarding, integration, and operational system migration of newly affiliated orthodontic, dentistry, and specialty practices into the organization.This role will serve as the primary lead for all practice integrations, practice management system (PMS/EMR) implementations, workflow standardization, and operational readiness initiatives across the platform. The ideal candidate will possess strong healthcare integration experience, project management expertise, and hands-on knowledge of dental/healthcare software systems, with preference given to candidates with DSO integration experience or vendor-side dental PMS implementation experience, including familiarity with platforms such as Ortho2 Edge (or any Ortho2 software), Gaidge, Cloud9, TOPs, OrthoTrac, Wave Ortho, Greyfinch or similar orthodontic or healthcare technology systems.This individual will partner cross-functionally with operations, IT, HR, finance, business development, and executive leadership to ensure seamless transitions during acquisitions, de novos, and ongoing operational enhancements while driving process standardization and scalability across the organization.Key ResponsibilitiesPractice Management Systems Leadership • Lead PMS/EMR conversions and migrations for newly acquired and transitioning practices. • Manage end-to-end system implementation projects including data extraction, mapping, transformation, validation, testing, and import. • Oversee migration of patient demographics, scheduling, insurance, billing, claims, provider data, balances, and historical records. • Partner with vendors and IT teams to troubleshoot technical/system issues during implementation. • Conduct testing and reconciliation audits post-conversion to ensure data integrity and financial accuracy. • Provide hands-on go-live support and stabilization oversight post-implementation. • Recommend workflow improvements and software optimizations to maximize efficiency and user adoption.Practice Integration & Onboarding • Lead and manage end-to-end post-acquisition integration of newly affiliated practices into the organization. • Serve as the primary point of contact for practice leadership throughout onboarding and transition processes. • Develop, maintain, and execute comprehensive integration project plans, timelines, and milestones. • Coordinate cross-functional teams, including HR, Payroll, IT, Business Development, Finance, Marketing, and Clinical Operations to ensure timely execution of all integration deliverables. • Facilitate onboarding and welcome processes for providers, leadership, and support staff entering the organization. • Identify integration risks, delays, or operational gaps proactively and escalate concerns to leadership as needed. • Monitor post-integration performance and support optimization initiatives to improve efficiency and adoption.Training, Change Management & Workflow Optimization • Assess current practice workflows and identify opportunities for operational improvement and standardization. • Develop and deliver user training, SOPs, implementation guides, and workflow documentation. • Drive change management initiatives to improve adoption of company systems, workflows, policies, and best practices. • Support providers and staff during transitions with hands-on training and issue resolution. • Promote platform standardization while balancing operational realities of legacy practice environments.De Novo / New Office Launch Support • Coordinate system setup, vendor onboarding, and operational readiness for de novo locations. • Assist in project planning and execution for new office openings. • Ensure practices are fully operational and prepared for Day 1 go-live.Qualifications • Bachelor’s degree in Healthcare Administration, Business, Information Technology, or related field preferred; equivalent experience considered. • Preferred experience in healthcare, dental, DSO/MSO, or medical group operations with direct exposure to practice integration, implementation, or project management. • 3-5+ years of experience with PMS/EMR implementation, conversion, or healthcare software migration. • Strong working knowledge of dental/healthcare operations, revenue cycle, scheduling, billing, and patient workflows. • Preferred experience with Ortho2 Edge (or any Ortho2 orthodontic software), Cloud9, Dolphin, TOPs, OrthoTrac, Wave Ortho, Greyfinch, or similar practice management systems. • Exceptional organizational and project management skills with the ability to manage multiple simultaneous initiatives. • Strong communication and interpersonal skills with experience working directly with providers, executives, and frontline staff. • Demonstrated ability to lead change management initiatives and influence stakeholders at all organizational levels.• Ability to travel for on-site implementations and work flexible hours during go-live phases • Proficiency in Microsoft Office Suite, project management software, and reporting tools.Preferred Characteristics • Strong executive presence and professionalism. • Ability to operate independently in a fast-paced, high-growth environment. • Detail-oriented with strong analytical/problem-solving skills. • Highly adaptable with a continuous improvement mindset. • Comfortable balancing strategic planning with tactical execution.Why Phase 1 Equity?
