This role assists with marketing, sales coordination, production scheduling, financial administration, human resources, and customer communication to ensure smooth and efficient operations.Key ResponsibilitiesSales & Customer SupportPrepare and send sales packages and proposals for Sales AssociatesSchedule estimate appointments for Sales AssociatesSend follow-up communications to customers after estimates, as directed by Sales AssociatesMaintain consistent customer follow-up and communicationMaintain and update all customer mailing lists and CRM recordsMarketing SupportAssist with executing marketing initiatives outlined in the Companys Annual Marketing PlanSupport digital marketing and social media effortsMaintain inventory of marketing and point-of-sale materialsAssist with commercial telemarketing and outreach effortsProduction & Scheduling SupportSchedule painting projects and coordinate job colors and job start datesCommunicate with customers while projects are ongoing to ensure satisfaction and address any questions or concernsAssist with production coordination and job progress trackingOrder paint and job materials as directed by the Production Manager or Production AssociateIssue Purchase Orders (POs) for materials and servicesFinancial & AdministrativeEnter the Annual Financial Plan (AFP) into QuickBooksPerform job costing and assist with tracking project profitabilityProcess vendor invoices and pay company billsWrite and process weekly payroll checksMaintain organized financial and administrative filesHuman ResourcesManage documentation and onboarding paperwork for new hiresMaintain personnel files and manage termination documentationProfessional DevelopmentParticipate in regional and national training conferences and company meetings as requiredQualificationsHigh school diploma or GED requiredCollege degree preferredExperience with social media and digital marketing preferredProficiency with Microsoft Office (Word, Excel, Outlook)QuickBooks experience preferredStrong verbal and written communication skillsHighly organized with strong attention to detailExcellent time management and multitasking abilities5 years of administrative or office assistant experience preferredEach CertaPro Painters business is independently owned and operated.
