Success in this role requires strong organizational skills, attention to detail, adaptability, professionalism, and the ability to effectively manage multiple priorities in a fast-paced environment.REPORTING RELATIONSHIPReports to the Accounting Manager.May provide administrative support to other departments and personnel as assigned.ESSENTIAL DUTIES & RESPONSIBILITIESThe duties and responsibilities listed below are representative of the work performed by this position and are not intended to be all-inclusive.Administrative & Customer Service SupportProvide professional and courteous customer service to customers, vendors, visitors, and employees.\r\nAnswer, screen, and direct incoming telephone calls and inquiries.\r\nGreet and assist visitors in a professional and welcoming manner.\r\nReceive, sort, and distribute mail, packages, and correspondence.\r\nPrepare, maintain, distribute, and file business documents, reports, records, and correspondence.\r\nMaintain organized electronic and physical filing systems.\r\nAssist with office supply inventory and purchasing.\r\nSupport daily office operations and administrative functions.\r\nCoordinate and communicate information between departments as needed.\r\nDepartmental SupportProvide administrative support to the Accounting Manager and other departments as needed.\r\nAssist with data entry, recordkeeping, reporting, and document management.\r\nSupport routine departmental, operational, and administrative activities.\r\nAssist with special projects and company initiatives.\r\nMaintain accurate records and documentation in accordance with company policies and procedures.\r\nGeneral ResponsibilitiesMaintain professionalism, confidentiality, integrity, and accuracy in all aspects of work.\r\nFoster positive working relationships with customers, coworkers, vendors, and management.\r\nComply with all company policies, procedures, and safety requirements.\r\nParticipate in required training and compliance programs.\r\nMaintain regular and reliable attendance.\r\nAdapt to changing business needs and priorities.\r\nPerform other duties as assigned.\r\nKNOWLEDGE OFCustomer service principles and office administration practices.\r\nMicrosoft Office applications, including Outlook, Word, Excel, and related business software.\r\nGeneral recordkeeping and business office procedures.\r\nOffice equipment and technology.\r\nWorkplace safety practices and procedures.\r\nABILITY TOEstablish and maintain effective working relationships with customers, coworkers, vendors, and management.\r\nCommunicate effectively both verbally and in writing.\r\nOrganize, prioritize, and complete multiple tasks accurately and efficiently.\r\nExercise sound judgment and problem-solving skills.\r\nHandle confidential information with discretion and professionalism.\r\nLearn and adapt to new systems, processes, and technology.\r\nWork independently and collaboratively in a team environment.\r\nFollow verbal and written instructions and meet established deadlines.\r\nMINIMUM QUALIFICATIONSEducationHigh School Diploma or GED preferred.\r\nPreferred ExperienceTwo (2) years of administrative, clerical, customer service, or related experience preferred.\r\nLicense/CertificationValid Montana Driver's License with an acceptable driving record.\r\nESSENTIAL PHYSICAL REQUIREMENTSThe physical demands described below are representative of those required to successfully perform the essential functions of this position.
