Job Title: Facilities & Logistics CoordinatorJob DescriptionThe Facilities & Logistics Coordinator supports daily onsite operations at a San Diego facility by managing shipping and receiving activities, including IATA-compliant shipments, performing light facilities maintenance, and serving as the primary onsite representative for client-facing interactions. This highly customer-focused role ensures smooth workplace operations, consistent service delivery, and adherence to safety, security, and regulatory standards. The position is onsite, operates Monday through Friday from 7:00 a.m. to 4:00 p.m., and offers the potential for assignment extension and conversion to a full-time role.ResponsibilitiesReceive, log, distribute, and ship inbound and outbound materials and packages as the primary daily responsibility.Prepare and process IATA-compliant shipments, including dangerous goods and regulated materials, ensuring all documentation and procedures meet applicable regulations.Coordinate daily with couriers, freight vendors, and internal stakeholders to schedule and manage pickups, deliveries, and special shipments.Maintain accurate shipping records, tracking information, and documentation for all incoming and outgoing materials.Ensure compliance with safety, security, and regulatory requirements for all shipping, receiving, and material handling activities.Monitor and maintain inventory of shipping supplies and materials, and reorder as needed to avoid shortages.Perform light facilities maintenance, including minor repairs and basic troubleshooting of facility-related issues.Submit, monitor, and track service requests and vendor work orders to ensure timely completion of maintenance and repair activities.Conduct routine walkthroughs of the facility to identify issues, safety concerns, and maintenance needs, and escalate as appropriate.Support preventive maintenance programs and safety initiatives by coordinating tasks and ensuring adherence to established procedures.Provide light workplace experience support, including maintaining break areas and ensuring shared spaces remain clean, organized, and functional.Serve as the primary onsite representative for clients and vendors, acting as the front-line point of contact for facilities and logistics matters.Deliver high-touch customer service with professional, clear, and courteous communication in all client and vendor interactions.Respond promptly to service requests, inquiries, and issues, and follow through to ensure resolution and client satisfaction.Build and maintain strong client relationships by creating a polished, welcoming, and professional environment.Follow established policies, environmental health and safety standards, and client-specific procedures in all aspects of daily work.Collaborate with maintenance workers and facilities management team members, even when working solo onsite, to ensure coordinated support.Perform other duties as assigned to support overall property and facilities management operations.Essential SkillsHands-on experience in shipping and receiving operations, including managing inbound and outbound materials and packages.IATA shipping certification or practical experience preparing and processing IATA-compliant shipments, including dangerous goods and regulated materials.Prior experience in facilities, workplace services, or operations, with exposure to maintenance, work orders, or building support.Strong customer service skills with the ability to provide high-touch, professional, and responsive support to clients and vendors.Excellent interpersonal and communication skills, with the ability to interact effectively with internal stakeholders, couriers, and service providers.Ability to perform light physical work, including lifting and moving equipment or materials up to 50 pounds.Basic computer skills, including proficiency with email (such as Outlook), spreadsheets (such as Excel), and work order or ticketing systems.High school diploma or equivalent educational background.Additional Skills & QualificationsExperience working in a corporate, laboratory, or technology environment.Material handling experience, including safe handling, storage, and movement of materials and supplies.Familiarity with property and facilities management environments and workflows.Comfort working independently as the primary onsite representative while collaborating remotely with facilities management teams.Ability to prioritize tasks, manage time effectively, and handle multiple responsibilities in a fast-paced environment.Attention to detail in documentation, recordkeeping, and compliance with safety and regulatory requirements.Work EnvironmentThis role is fully onsite at a facility in San Diego, CA, within a property and facilities management setting. The Facilities & Logistics Coordinator typically works Monday through Friday from 7:00 a.m. to 4:00 p.m. The position operates in a professional corporate environment that includes shipping and receiving areas, office spaces, and common areas such as break rooms. The coordinator works largely solo on site while collaborating with a broader team of maintenance workers and facilities management professionals. The work involves regular interaction with couriers, vendors, and onsite clients, and includes both desk-based tasks using tools such as email, spreadsheets, and work order systems, as well as physical activities such as moving packages and performing light maintenance. The environment emphasizes safety, adherence to established environmental health and safety standards, and consistent, high-quality customer service.
