This position works closely with the Program Director, institutional GME office, faculty, trainees, and external partners to ensure the program meets all Accreditation Council for Graduate Medical Education (ACGME) requirements and maintains smooth daily operations.\n\nThe role requires strong attention to detail, excellent organizational and communication skills, the ability to manage multiple priorities, and the capacity to collaborate with diverse personalities and professional groups.\n\nKey Responsibilities\n\nCoordinate complex program schedules, including rotations, on call assignments, and annual program calendars.\nEnsure rotation schedules are supported by appropriate training sites and supervisory personnel.\nCollaborate with the Program Director on annual program planning and timelines.\nMaintain up to date program documentation, records, and evaluations consistent with ACGME accreditation requirements.\nTrack trainee progress to ensure all graduation and competency requirements are met.\nAssist the Program Director to ensure continuous compliance with ACGME, Review Committee, and specialty board requirements.\nMaintain accreditation documentation within ACGME systems (e.g., ADS/WebADS).\nPrepare for and support accreditation site visits, annual program updates, internal reviews, and related activities.\nEnsure Program Letters of Agreement (PLAs) and affiliation agreements are maintained for all required training sites.\nParticipate in developing and updating program policies and procedures to maintain alignment with institutional and accreditation standards.\nCoordinate educational activities, including conferences, didactics, workshops, and other training events.\nCoordinate required in training or specialty examinations, including scheduling, proctor arrangements, materials management, and submission processes.\nCoordinate the residency application and interview cycle, including:\no Managing ERAS related scheduling and communication\no Organizing interview day logistics (agendas, rooms, virtual meeting links, hospitality details)\no Communicating with applicants, faculty interviewers, and residents involved in recruitment\no Assisting with creation of recruitment materials and follow up communications\n\nCoordinate onboarding requirements for incoming trainees, such as:\no HR paperwork, credentialing, background checks, and institutional onboarding tasks\no Scheduling orientation sessions and training modules\no Ensuring completion of pre start requirements (vaccinations, IDs, system access, compliance training)\n\nSupport program specific orientation activities, introductions, and welcome events.\nAssist residents with travel related arrangements to conferences, courses, and educational meetings, including:\no Registration support\no Travel approvals and reimbursements\no Coordination of required documentation for academic presentations\n\nTrack conference attendance and ensure alignment with program policies and budgets.\nServe as a primary contact for trainees, faculty, institutional GME personnel, and external partners.\nAssist with data management, reporting, communication, and operational tasks to support overall program effectiveness.\nPerform additional related duties as assigned.\n\nWhat We’re Looking For\n\nExceptional organizational and time-management skills\nStrong attention to detail and regulatory compliance\nAbility to manage multiple complex projects simultaneously\nExcellent communication and collaboration skills\nFlexibility and adaptability in a dynamic academic medical environment\n\nShift\n\nMonday – Friday\n8:00 a.m. – 5:00 p.m.\nMinimum Qualifications\n\nA Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.\nAnticipated Hiring Range\n\nSalary Range: $55,000 - $65,000 annually\nGrade: GGS - 9E\nUniversity Title: PRGM MGR I STUDNT SUPPRT SVCS\nInternal applicants can determine their university title by accessing the Talent Profile tile in myHR.\n\nApplication Materials\n\nIn addition to the Online Application, please provide a Cover Letter and Resume.\n\nBenefit Eligibility\n\nThis position is eligible for University benefits.
