The role will also maintain a regular presence in the field through weekly or bi-weekly jobsite visits.\n\nWhat You'll Do\n\nProject Data & Field Reporting\n\nEnter daily field logs, equipment hours, labor hours, and material quantities into HeavyJob.\n\nReview daily submissions from Superintendents for completeness, accuracy, and consistency.\n\nFollow up with field personnel to resolve missing or incomplete information.\n\nConvert field notes and project terminology into clear, organized digital records.\n\nMaintain accurate project data that supports billing, project tracking, and decision-making.\n\nBilling & Compliance\n\nPrepare billing backup and pay application documentation for corporate clients and general contractors.\n\nCoordinate with the Office Manager and accounting/AR team to ensure accurate and timely invoicing.\n\nManage project submittals, lien waivers, and other required compliance documentation.\n\nMaintain complete, accurate, and well-organized project files.\n\nField & Office Coordination\n\nConduct weekly or bi-weekly visits to active jobsites.\n\nBuild strong relationships with Superintendents and field crews.\n\nHelp ensure field teams have the administrative support they need to keep projects moving.\n\nServe as a communication link between field operations, leadership, and the back office.\n\nMaintain accountability around required documentation without creating unnecessary friction for the field.\n\nMaterials & Vendor Support\n\nAssist with project material ordering and tracking.\n\nCoordinate with vendors and suppliers as needed.\n\nSupport Superintendents and project leadership with project-related administrative needs.\n\nAssist with other operational priorities throughout the project lifecycle.\n\nProcess Improvement\n\nIdentify gaps, bottlenecks, and inefficiencies between field and office operations.\n\nDevelop practical, repeatable processes that improve organization and accountability.\n\nHelp move Earth Works from informal processes toward more structured and scalable systems.\n\nLook for solutions rather than simply working around problems.\n\nHelp establish systems that can grow with the company.\n\nA Role That Can Grow With You\n\nThe initial focus of this position will be heavily centered around project data, documentation, billing support, and field coordination.
