The Executive Assistant also supports and serves as the liaison between the Board of Directors and the Boulder JCC, supporting effective governance by the Board by facilitating communications to and from the Board and preparing for and managing Board meetings. This position sits on and provides support for the Boulder JCC's Senior Leadership Team, the team that helps guide, manage, and lead the organization's more than 100 staff members and the organization as a whole in concert with the Boulder JCC Board.\r\nEssential Duties/Responsibilities\r\nExecutive Support\r\nManage a high volume of scheduling for the Executive Director and provide scheduling support for the Senior Leadership Team\r\nManage phone and email traffic on behalf of Executive Director; prioritize, address and elevate as necessary\r\nArrange travel logistics for Executive Director\r\nDevelop and maintain systems to provide Executive Director with efficient and confidential access to information\r\nDraft and edit correspondence, presentations, and reports on behalf of Executive Director\r\nAttend meetings as representative of Executive Director\r\nConduct research and analysis to support Executive and Senior Leadership Team management and decision making\r\nMaintain Executive Director's list of tasks to ensure timely completion and additions as requested or needed\r\nLeverage Executive Director's time by anticipating and proactively addressing needs and priorities\r\nMaintain office supplies and anticipate needs for new purchases in a cost effective and timely manner\r\nOrganize all aspects of Executive Director meetings including room bookings, room setup, materials, food, and take notes as requested\r\nServe as a critical public interface for Boulder JCC\r\nProvide stewardship and support to the Executive Director's donor portfolio through meeting scheduling and supporting requests\r\nSupport the Senior Leadership Team by attending meetings, taking notes, and providing follow-up on tasks and assignments\r\nSupport the Executive Director in other projects and priorities as needed\r\nProvide structural, planning and logistical support to all cultivation and civic events in concert with Executive Director, Board, and Development Team\r\nSupport the Senior Leadership Development Team with calendar management and booking of meeting space, as needed\r\nManage roles of Senior Leadership Team and Board members at events\r\nManage relationships with event-related vendors in coordination with the Senior Director of Development and the Senior Director of Operations, as needed\r\nBoard Support\r\nEnsure Boards' preparation for Board and Committee meetings through timely provision of materials\r\nMaintain, update, and organize board documents and archives\r\nSupport the Executive Director, Board Chair, and Executive Committee in developing Board reports, meeting agendas, and materials\r\nServe as primary liaison to the Governance Committee\r\nWork with Board Committees to manage meetings and initiatives\r\nCoordinate all logistics for Board and Committee meetings\r\nCompile and organize board performance metrics and incorporate into Board meeting materials\r\nAttend Board meetings, take minutes, and coordinate filing of minutes with the Board Secretary\r\nAct as the liaison between Board committees and the organization on all administrative and organizational matters\r\nCoordinate all Board communications and events\r\nUnderstand Board policies, guidelines, and Bylaws\r\nFacilitate connections between Board members and staff\r\nSkills/Qualifications Required\r\n5+ years experience preferred in executive support, with relevant non-profit experience\r\nStrong experience using Google applications, Microsoft Office Suite, file sharing platforms such as Google Drive, and project management tools like Asana and Teamwork\r\nExcellent written and oral communication skills\r\nExcellent interpersonal skills with the ability to work collaboratively with internal and external stakeholders\r\nGood judgment and strong inclination to be proactive\r\nResourceful and creative in problem solving\r\nAble to interact with senior level executives and sophisticated donors\r\nAbility to manage projects, organize and complete complex tasks and prioritize multiple assignments and deliver on a timely basis\r\nAbility to thrive and succeed in a fast-paced environment\r\nExcellent computer/database skills\r\nStrong attention to detail and follow up skillsAbility to handle sensitive and confidential information with discretion\r\nProficiencies with technology, including databases, and willingness to adapt to new technologies\r\nExperience with CRMs; Salesforce preferred.\r\nAbility to work some evenings and weekends and attend Boulder JCC events as requested\r\nPhysical Requirements\r\nWhile performing regular duties, you will be required to sit, stand, reach, walk, or kneel, and to lift and/or move up to 25 pounds.
