As the Operations & Admin Coordinator, you will be one of the first people on the ground — establishing the administrative infrastructure of a site that is still finding its rhythm, bridging the German headquarters and the local team, and ensuring that nothing falls through the cracks as the facility grows in headcount and production volume.\nWhat You'll Do\nBe the boots on the ground — physically present at the Port San Antonio / Lockhart site to handle tasks that require someone there: receiving deliveries, coordinating with local vendors, managing the space, and resolving issues as they arise\nExecute on direction from Germany — act as the reliable local extension of the Taufkirchen team, translating priorities from headquarters into action on the ground without needing heavy oversight\nSupport the Office Manager and People & Culture lead — working closely with both to ensure HR processes, onboarding logistics, office operations, and culture initiatives are executed smoothly at the Texas site\nOwn the administrative layer locally — handling correspondence, record-keeping, compliance deadlines, vendor relationships, and facility coordination\nManage invoices, expense reports, and basic finance coordination with the accounting team\nBe the connective tissue between operations, HR support, and facility management — ensuring the three functions stay coordinated and nothing gets lost between them\nYour success will be measured by how seamlessly the facility runs, how reliably tasks from Germany are executed, and how effectively you support the team around you.\nWhat You Bring\nExperience in an administrative, office management, or executive assistant role\nProficiency in Microsoft 365 (Word, Excel, Outlook, Teams) or equivalent\nBasic familiarity with finance operations — invoices, expenses\nExperience coordinating with local vendors, contractors, or service providers\nComfort with HR administrative tasks — onboarding paperwork, file management, benefits coordination\nAwareness of basic US business compliance requirements (permits, registrations, insurance)\nFluent English — written and spoken, strong enough to represent the company externally\nSpanish or German language skills are a strong advantage\nWhat Makes You Successful Here\nOwnership mentality — you treat every task as yours until it is fully closed\nService orientation — you are motivated by making the team around you more effective\nProactiveness — you notice what needs to happen next and move without being prompted\nRespect for detail — you get things right: the correct name, the right figure, the deadline met early\nStartup mindset — you thrive in an environment where processes are still being built and no two days are identical\nDiscretion and professionalism — you handle sensitive information and represent Blackwave well in every interaction\nLocation\nThis role is fully on-site — physical presence at the facility is essential and non-negotiable\nOur current production site is located in Lockhart, Texas (near Austin / San Antonio)\nIn mid-2026, Blackwave will relocate to a new facility at the Port San Antonio aerospace hub\nOccasional early morning availability may be needed for alignment calls with the team in Germany (CET)\nEqual Opportunity Employer\nBlackwave Texas Inc. is an Equal Opportunity Employer.
