Our team works in-depth with clients throughout their full event cycle, ensuring every team member plays an integral role in our success.\n\nPosition Overview: We are seeking a highly organized and detail-oriented Conference Program Manager to join our dynamic team. This role will be responsible for supporting the planning, coordination, and execution of client meetings, conferences, and events. The ideal candidate will have a strong background in event management and be able to handle multiple projects simultaneously.\n\nKey Responsibilities:\n\nEvent Planning and Support:\n\nAssist in conference planning activities and manage assigned project elements\nCollaborate with team members to determine objectives and requirements for meetings and conferences\nCreate and maintain event documentation, including meeting minutes, weekly reports, and post-conference client reports\nHelp manage sponsorship opportunities and planning\nPrepare documents for onsite operations\n\nLogistics Coordination:\n\nCoordinate event logistics, including accommodations, transportation, facilities, catering, and signage\nAssist in managing registration of event participants, including set-up, room block management, and activity tracking\nHandle orders and shipments of event supplies and promotional items\n\nVendor and Budget Support:\n\nResearch potential vendors and assist in the contract finalization process\nSupport the development of programs, agendas, and budgets according to client requirements\nHelp review event bills for accuracy and process payments\n\nOn-site Execution:\n\nWork on-site for assigned events, supporting day-of logistics and troubleshooting issues\nAct as a liaison between vendors, Type A Events, attendees, and clients for logistical operations and support\n\nContinuous Improvement:\n\nKeep a pulse on current industry trends through continued training and research\nParticipate in cross-training opportunities\n\nQualifications:\n\nBachelor's degree in Event Management, Hospitality, or related field\n2+ years of meeting planning experience\nUnderstanding of the travel industry, hotel chains, and meeting industry terms\nStrong organizational and multitasking skills\nExcellent written and verbal communication abilities\nProficiency in Google Suite and database systems\nAbility to travel and work on-site for programs, including some weeknights and weekends\nCapable of lifting and moving up to 50 pounds\n\nKey Skills and Attributes:\n\nStrong customer service skills and ability to remain calm under pressure\nExceptional attention to detail and organizational skills\nCollaborative team player with excellent interpersonal skills\nResourcefulness, good judgment, and problem-solving abilities\nAdaptability to changing priorities and deadlines\n\nBenefits:\n\nCompetitive salary\nPaid time off\nHealth & Dental Insurance\n401(k)\nProfessional development opportunities\nFlexible work schedule\n\nApplication Process: Please submit your resume and a cover letter detailing your relevant experience and interest in the position.
