Join us.\n\nJob Description\n\nAECOM is seeking a highly qualified Project Controls – Senior Document Controller who will support projects throughout the Boston area by managing, organizing, tracking, distributing, and maintaining project documentation throughout the project lifecycle. This position will help ensure that project records are accurate, current, securely maintained, and readily accessible to authorized team members. The successful candidate must possess excellent organizational, communication, and relationship-building skills and be capable of working independently and collaboratively in a fast-paced, client-focused environment. The Document Controls Specialist will coordinate closely with project managers, project controls personnel, design teams, contractors, consultants, and client representatives to maintain effective document control processes and support compliance with project requirements.\n\nResponsibilities include:\n\nEstablish, implement, and maintain document control procedures, create Standard Operating Procedures (SOPs), workflows, filing structures, naming conventions, and revision-control standards.\nManage project documentation and document-review workflows within the designated Project Management Information System (PMIS).\nReceive, review, log, distribute, track, retrieve, and archive project documentation, including:\nRequests for Information (RFIs)\nSubmittals and shop drawings\nTransmittals\nDesign drawings and specifications\nTechnical reports\nMeeting minutes and correspondence\nChange management documentation\nContracts and amendments\nPermits and regulatory documentation\nInspection reports and field records\nCloseout documents, warranties, and operations and maintenance manuals\nVerify that documents are complete, properly formatted, accurately numbered, and submitted in accordance with established procedures.\nMaintain document revision histories and ensure that superseded documents are appropriately identified and archived.\nMonitor document-review workflows and follow up with responsible parties to support timely responses and approvals.\nDistribute approved documents to authorized project participants and confirm that teams are working from the most current versions.\nPerform routine quality-control reviews and audits of project records to identify missing, duplicate, outdated, or incorrectly filed documents.\nProduce weekly and monthly document control reports, including logs of overdue submissions, outstanding reviews, and workflow status.\nSupport the development and monitoring of document control key performance indicators and dashboards.\nAssist project personnel with document retrieval, system navigation, workflow requirements, and document control procedures.\nProvide onboarding and system training to project team members, consultants, and contractors, as required.\nCoordinate with project leadership to maintain user access, permissions, distribution groups, and confidentiality requirements.\nParticipate in project meetings and provide updates regarding document status, outstanding reviews, overdue items, and other document control concerns.\nRecommend process improvements to strengthen document quality, consistency, traceability, and accessibility.\n\nQualifications\n\nMinimum Requirements\n\nBachelor’s degree in Construction Management, Information Management or a related discpline plus eight years of related experience or demonstrated equivalency of experience and/or education.\nExperience supporting institutional, commercial, infrastructure, or vertical construction projects.\n\nPreferred Qualifications\n\n12 plus years of industry experience in project controls, project administration, document management, construction management, or operations management.\nDemonstrated experience managing large volumes of technical and administrative project documentation.\nExperience processing and tracking RFIs, submittals, drawings, specifications, transmittals, correspondence, change documentation, and closeout records.\nFamiliarity with construction terminology, project delivery processes, quality-management requirements, and regulatory documentation.\nExperience supporting document management throughout design, procurement, construction, commissioning, and project closeout.\nExperience preparing document control reports, dashboards, performance metrics, and audit findings.\nProficiency in Microsoft Office applications, SharePoint, dashboards, and PMIS platforms such as Procore, e-Builder, Kahua, InEight, PMWeb, Autodesk Construction Cloud, or Aconex.\nProject Management Professional (PMP) certification is a plus.\n\nAdditional Information\n\nSponsorship for U.S. employment authorization is not available now or in the future for this position.\nRelocation assistance is not available for this position.\n\nAt AECOM, we are committed to maintaining a secure and trustworthy recruitment process and take any fraudulent hiring activity seriously.
