Legal Intake Coordinator

OverviewWe are a downtown Columbus personal injury and medical malpractice law firm seeking a dependable, organized, and personable Legal Intake Coordinator to serve as the operational backbone of our office. In this client-facing role, you will be the first voice prospective clients hear; fielding inquiries, managing the intake process, and ensuring no lead goes untracked. You will also provide essential administrative support to our paralegals and nurses, and will keep day-to-day office operations running smoothly. This is a task-driven position well-suited to someone who takes genuine pride in doing their job thoroughly and who thrives in a structured, professional environment.ResponsibilitiesServe as the primary point of contact for client inquiries via phone and written correspondence, providing a professional and compassionate first impressionConduct initial client intake conversations to gather relevant case information and document leads accuratelyCreate and maintain client files in both paper and electronic formats, including data entry into case management softwareDraft and send outgoing correspondence on behalf of the firmCoordinate with paralegals, nurses, and attorneys to ensure timely and accurate case file setup and follow-through on open leadsAnswer and direct multi-line phone calls with professionalism and strong phone etiquetteManage incoming and outgoing mailOrder and stock office supplies; maintain an organized and presentable office environmentMaintain meticulous records of all client interactions and case documentation in compliance with confidentiality standardsExperiencePrior experience in a professional office setting required; legal administrative experience preferredProficiency in Microsoft Word, Outlook, and Excel requiredFamiliarity with Adobe Acrobat or Adobe PDF tools preferredWillingness to learn case management and other similar software requiredStrong organizational skills with the ability to manage multiple tasks and shifting prioritiesExcellent verbal and written communication skills; professional phone manner essentialDemonstrated ability to work both independently and collaboratively in a small team settingDependable, punctual, and detail-oriented with a polished, professional appearanceCompensation & Benefits$45,000 annually, dependent on experienceAnnual bonus potential based on firm performancePaid time off: 5 vacation days and 6 personal days per calendar yearParental leaveDental and vision insuranceLife insurance after 6 months of employment401(k) eligibilityPaid downtown parkingGuaranteed holidays: New Year's Day, Memorial Day, Independence Day, Thanksgiving, and ChristmasScheduleMonday–Friday, 8:30 AM – 5:00 PMWork Location: In person.
