Duties
Greet visitors and manage office responsibilities with professionalism and warmth
Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
Maintain organized filing systems, handle data entry, and perform proofreading to ensure accuracy in documents
Manage calendar appointments, schedule meetings, and coordinate office events using Google Workspace or Microsoft Office tools
Assist with office management duties including supply inventory, filing, and mailing
Provide excellent customer service by supporting clients and team members promptly and courteously
Handle clerical tasks such as copying, scanning, mailing, and preparing correspondence
Qualifications
Proven experience in an office environment with strong clerical skills and organizational abilities
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Familiarity with Cerenade, LawLogix, Docketwise, or any other immigration softare is a plus
Excellent phone etiquette with experience managing multi-line phone systems
Must have Bilingual skills to assist diverse client needs (Spanish or Portuguese)
Strong typing speed and computer literacy to perform data entry efficiently
Previous experience as a receptionist or personal assistant is advantageous
Knowledge of legal receptionist duties is a bonus but not required
Demonstrated ability to manage time effectively while juggling multiple responsibilities
