This role serves as the central point of coordination for document management processes across departments, ensuring that all controlled documents are properly reviewed, approved, distributed, stored, and retained according to company policies and regulatory requirements.\n\nThe ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while maintaining strict confidentiality and document integrity.\n\nEssential Duties and Responsibilities:\nDocument Management\nMaintain and administer the project’s document control system.\nCreate, organize, file, archive, and retrieve electronic and hard-copy documents.\nEnsure all documents are properly categorized, indexed, and stored according to company standards.\nMonitor document workflows and ensure timely review, approval, and distribution.\nManage document revisions and maintain version control to ensure only current documents are in circulation.\nTrack document status and provide updates to stakeholders as needed.\nPerform routine audits of controlled documents to ensure accuracy and compliance.\nRecords Retention & Compliance\nMaintain document retention schedules and ensure compliance with company policies and regulatory requirements.\nArchive obsolete documents while preserving required historical records.\nAssist with internal and external audits by providing requested documentation.\nEnsure confidentiality and security of sensitive company information.\nSupport compliance initiatives related to quality management systems, environmental requirements, safety standards, and customer requirements.\nProject Documentation Support\nCoordinate project documentation from initiation through project completion.\nTrack submittals, transmittals, drawings, specifications, contracts, permits, and project correspondence.\nMaintain project files and ensure all required documentation is complete and up to date.\nWork closely with engineering, operations, accounting, and project management teams to ensure documentation accuracy.\nDistribute approved project documents to internal and external stakeholders.\nProcess Improvement\nIdentify opportunities to improve document management processes and workflows.\nDevelop and maintain document control procedures, work instructions, and templates.\nAssist with implementation and optimization of document management software and systems.\nTrain employees on document control procedures and best practices.\nAdministrative Support\nGenerate reports related to document status, revisions, and compliance metrics.\nAssist with data entry and database maintenance.\nSupport departmental administrative functions as needed.\nParticipate in special projects and other duties as assigned.\n\nRequired Qualifications\nHigh school diploma or GED required.\nAssociate's degree in Business Administration, Project Management, Information Management, or a related field preferred.\nMinimum of 2 years of experience in document control, records management, project administration, or a related administrative role.\nExperience managing large volumes of documentation with a high degree of accuracy.\nStrong proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and SharePoint.\nExcellent organizational and time management skills.\nStrong written and verbal communication skills.\nAbility to maintain confidentiality and handle sensitive information.\nStrong attention to detail and commitment to accuracy.\n\nPreferred Experience\nExperience in manufacturing, engineering, construction, mining, industrial operations, or project-based environments.\nExperience with electronic document management systems (EDMS).\nFamiliarity with ISO standards and quality management systems.\nExperience with ERP systems such as NetSuite.\nKnowledge of records retention requirements and compliance standards.\nExperience supporting multi-site operations.\n\nKey Competencies\nOrganization and Planning\nAttention to Detail\nAccountability\nCommunication Skills\nProblem Solving\nProcess Improvement\nTime Management\nAdaptability\nConfidentiality\nTeam Collaboration\n\nPhysical Requirements\nProlonged periods of sitting and working at a computer.\nAbility to occasionally lift and carry up to 25 pounds.\nAbility to access filing systems and storage areas.\nAbility to communicate effectively in person, via phone, and electronically.\n\nWork Environment\nThis position primarily operates in an office environment and may occasionally interact with operational, manufacturing, or project sites.
