This individual will be responsible for coordinating event production logistics, managing timelines, supporting project management tasks, and ensuring the smooth execution of events. The role requires clear communication with internal teams and external vendors, while maintaining strong organizational practices to manage multiple projects efficiently and effectively. Beyond the fundamental skills listed below, Inkling looks for Coordinators who excel in critical thinking, analytical skills and communication with both internal and external teams. QualificationsBe responsible for excellence in day-to-day aspects of production including sourcing vendors, building detailed project schedules, researching and securing production resources, quality controlling all deliverables, maintaining project documentation and communication with project teamsCoordinate onsite event logistics including venue communications, vendor management, transportation and overall production schedulesOrganize and maintain production inventory and electronic files within project foldersCollaborate with project Producers to execute on project plans, pre-production and onsite executionTake personal accountability for on-time project deliverablesBe able to work independently, sometimes on concurrent projects, while ensuring projects run seamlessly, on time and on budget while meeting or exceeding client and creative objectivesBe able to research, source and select production vendors that best fit project needs, scope, timelines and provide Inkling expected quality of serviceRepresent and grow relationships through Inkling’s standard of excellence with the external production industryChampion collaborative creative development processes; good ideas win here - no matter where they come fromThis Role RequiresWork in-person from our Rochester office 3 days a week, Tues-Thurs as ideal in-person days2+ years professional experience working in event management or production environmentsExcellent oral, written and presentation communication skills with the ability to communicate with all levels of employeesPositive-minded problem-solving and negotiation skills requiredAble to apply critical and strategic thinkingAbility to work under pressure and meet deadlines in a fast-paced creative environmentAbility to collaborate with internal teams and external clients and vendors at a variety of levels and across functionsAbility to self-manage and work remotely with video calls and collaborative toolsFlexibility and interest to travel to on-site projects and client eventsVetted background check provided by 3rd Party AgencySigned Non-Disclosure AgreementPreferred CredentialsBachelor’s degree in advertising, marketing, production or similar disciplineOn-site experience providing creative solutions to unexpected problemsThe Perks100% company provided medical, dental and vision insurance20 days paid time off per calendar year401k with Company Match ProgramEncouraged support of passion projects and experimentsInkling is a creative agency that will challenge your collaboration skills over digital platforms, encourage you to follow your passions and foster a friendly environment that celebrates great work and craft. Inkling welcomes diversity of race, gender, sexual orientation, disabilities and all else, as we strive to create an equitable and inclusive environment for all.
