The role involves providing executive administrative support, managing daily office operations, organizing meetings and calendars, preparing expense reports, coordinating executive schedules, and ensuring a well-run office environment. The position requires versatility and the ability to manage multiple responsibilities effectively while supporting leadership and the broader team.QualificationsStrong skills in Executive Administrative Assistance and general Administrative AssistanceExperience with Expense Reports and Executive Support tasksExcellent Communication skills, both written and verbalStrong organizational and multi-tasking abilitiesProficiency in office software and technology toolsExperience in office management or similar roles is beneficialBachelor’s degree or equivalent experience in a relevant field is an advantageHighly detail-oriented, proactive, and resourceful work ethicJob Profile: Executive Assistant & Office ManagerExecutive & Administrative Support• Provide comprehensive administrative support to the executive team and accounting department.• Assist with special projects including RFPs, year-end preparation, owner communications, K-1 distribution, and other strategic initiatives.• Support meeting preparation, agenda development, note-taking and executive calendar management.• Maintain company calendar and contact database to ensure accuracy and accessibility.• Provide additional support on top organizational priorities as needed.Office Operations & Systems• Ensure smooth day-to-day office operations through proactive oversight and organization.• Maintain office equipment, coordinate preventive maintenance, and manage vendor repairs.• Monitor and manage office supply inventory, anticipating needs and expediting orders.• Keep office and kitchen areas stocked and professionally maintained.• Coordinate and direct all IT and HR-related inquiries to appropriate contacts in a timely manner.Communication & Culture• Exhibit polished, professional communication via phone, email, and in-person interactions.• Provide excellent service to team members, guests, tenants, and stakeholders.• Organize company meetings, outings, and events to support engagement and culture.• Strategically manage and distribute season tickets to strengthen relationships with partners, residents, and community stakeholders.Outcomes: • Assists in successful and efficient operation of the office.• Provides excellent service to team members, guests and tenants.• Provides organization, time management and support to the team for all special projects.• Ensures the office operates as efficiently and effectively as possible (proactive approach).• Ensures all IT and HR questions are responded to and rectified in a timely manner.• Assists the executive team through communication, clarity and action plans as needed to accomplish special projects and tasks.• Contributes to and displays traits compatible for our company culture to create a supportive and positive work environment.Behavioral Competencies: • Professional• Self-Motivated • Collaborative• Effective Communicator • Flexible/Adaptable• Tech Savvy • Conscientious/Diligent • Organized
