Property Management Facilities Director
Position Overview
The Director of Facilities is a senior leadership role responsible for strategic oversight, planning, and execution of all facilities operations and capital improvement projects across a diverse real estate portfolio of more than 2,000 mixed use and residential units located in Maine, North Carolina, and Florida. This role ensures the long‑term preservation, safety, functionality, and value of all assets while leading a high‑performing team and managing multi‑state vendor and contractor relationships.
The ideal candidate combines strong technical expertise in property and building systems with advanced project management capabilities, financial acumen, and a proactive, solutions‑oriented leadership style.
Key Responsibilities
Strategic Facilities Leadership
Develop and implement the organization’s long‑term facilities strategy aligned with property operations, asset management goals, and capital planning.
Oversee building systems performance, preventive maintenance programs, risk mitigation, and compliance across all properties.
Establish enterprise-wide standards for maintenance, safety, environmental sustainability, and energy management.
Capital Expenditure (CapEx) Project Management
Lead end-to-end management of all capital improvement projects across the portfolio, from concept development through planning, budgeting, procurement, scheduling, and closeout.
Create and manage annual and multi‑year CapEx plans, ensuring accuracy of forecasts and alignment with ownership priorities.
Oversee contractor selection, bid evaluation, contract negotiations, and performance management.
Ensure all projects meet quality standards, stay on schedule, and remain within approved budgets.
Prepare and present regular CapEx updates, performance metrics, and ROI analysis to executive leadership.
Operations & Maintenance
Direct day‑to‑day facilities operations, maintenance protocols, emergency repairs, and service workflows across all regions.
Implement standardized processes and technologies to improve efficiency and response times.
Ensure life-safety systems, code compliance, and regulatory requirements are consistently met in Maine, NC, and Florida.
Team Leadership
Lead, mentor, and develop a dispersed facilities team, including regional maintenance managers, technicians, and project personnel.
Establish and maintain weekly meetings with facilities managers and leadership to create clear communication, expectations, and communication.
Drive a high‑performance culture emphasizing accountability, communication, and teamwork.
Coordinate with Property Management, Construction/Development, and Asset Management teams to ensure aligned goals and seamless execution.
Evaluate success of Facilities team through regular assessments, and performance review processes at least annually.
Vendor & Contract Management
Oversee relationships with third‑party contractors, engineering firms, cleaning services, landscaping providers, and specialty trade vendors.
Negotiate contracts to achieve cost savings while maintaining quality and service standards.
Conduct vendor performance evaluations and enforce contractual expectations.
Budgeting & Financial Oversight
Develop and manage annual operating and capital budgets for all facilities.
Review and validate invoices, change orders, and financial reporting for all maintenance and CapEx activities.
Identify cost‑saving opportunities through preventive maintenance, vendor negotiations, and value engineering.
Risk Management & Compliance
Oversee emergency preparedness, safety programs, and disaster response planning, particularly for hurricane‑prone and cold‑weather regions.
Ensure environmental, health, and safety standards are met across all assets.
Partner with insurance, legal, and compliance teams regarding inspections, claims, and documentation.
Construction Project Oversight
· Lead and manage occasional construction projects, ensuring successful execution from planning through completion.
· Develop detailed project plans, including scope, timelines, budgets, and resource allocation.
· Collaborate with architects, engineers, and subcontractors to ensure design and construction align with project goals.
· Oversee project teams, providing guidance, support, and mentorship to project managers and staff.
· Monitor project progress and performance, identifying and mitigating risks or issues as they arise.
· Maintain open communication with stakeholders, providing regular updates on project status, timelines, and budget.
· Ensure compliance with safety regulations, quality standards, and building codes throughout the project lifecycle.
· Manage contract negotiations and administration, ensuring adherence to terms and conditions.
· Prepare and present project proposals, progress reports, and final project deliverables to clients and management.
· Manage and maintain detailed project budgets, payment requisition processes, job cost analysis, cost completion forecasting as well as manage budgetary corrective actions/modifications to align with lending compliance and stakeholder requirements.
· Responsible for confirming and monitoring the finalized project budgets.
· Regularly review and approve of field or design changes; including documentation of the change impact on cost, schedule, quality, etc. and subsequent vendor/subcontractor change management on a regular and consistent basis.
Qualifications
Bachelor’s degree in Facilities Management, Engineering, Construction Management, or related field (Master’s degree or certifications preferred).
10+ years of progressive facilities leadership experience in residential or commercial property management; multi‑state portfolio experience strongly preferred.
Proven track record managing large‑scale CapEx projects from planning through completion.
Strong understanding of building systems, construction processes, and property operations.
Exceptional project management, budgeting, and analytical skills.
Ability to lead and develop high-performing teams across multiple locations.
Strong communication, vendor negotiation, and stakeholder management abilities.
Proficiency with CMMS, project management tools, and facilities technology platforms.
Willingness to travel across Maine, North Carolina, and Florida as required.
Location & Travel
Position may be based in any of the company’s regional offices, with frequent travel to properties across Maine, and occasional travel to NC and FL.

Pay: $120,000.00 - $150,000.00 per year
