The Role
We’re hiring a Front Desk / Office Manager to fully own the client experience and front-of-house operations while supporting back-of-house organization and inventory.
This role is critical to the business. Medical cancellations directly impact revenue, and we rely on this position to actively protect the schedule, communicate clearly, and ensure medical shifts are always fully booked.
You’ll be the connective tissue between clients, providers, operations, and leadership.
Key Responsibilities
Own all front desk operations from open to close
Manage client check-ins, check-outs, and in-clinic flow
Handle email, SMS, and booking platform messaging with clarity, warmth, and professionalism
Actively manage provider schedules to keep all medical shifts fully booked
Fill last-minute openings quickly and proactively
Call, reschedule, and confirm medical appointments when cancellations arise
Assist with inventory tracking and restocking clinic supplies
Flag low inventory and help maintain organized storage areas
Coordinate with operations on deliveries, restocks, and supply needs
Support light office management tasks to keep the clinic running smoothly

Requirements
1+ year experience in front desk, office management, hospitality, or client-facing operations (med spa, clinic, wellness, or luxury service preferred)
Strong written and verbal communication skills
Comfortable using booking systems, email, and messaging tools
Ability to be fully present and in-person during shifts
