Payroll Coordinator Intern

Reports to: Payroll ManagerJob Overview: The Payroll Intern provides essential clerical and administrative support to thePayroll department. This role is designed to give the intern hands-on exposure to payrolloperations without direct involvement in payroll processing. Responsibilities center on dataentry, document handling, sorting and distributing incoming materials, and supporting the teamwith coding and uploading tasks. This is an excellent opportunity for a detail-oriented individualseeking foundational experience in payroll administration.Responsibilities:Store Totals• Log and organize KKD store totals on a weekly basis (Mondays).• Log and organize Denny’s store totals on a weekly basis (Thursdays).• Ensure totals are recorded accurately and filed in the appropriate location for payrollteam review.Terminations• Process and log KKD termination documents daily (Monday through Friday).• Process and log Denny’s termination documents on Thursdays and Fridays.• Verify that termination records are complete before routing to the payroll team.Incoming Mail• Receive, sort, and distribute all incoming payroll-related mail on a daily basis.• Identify and flag time-sensitive items (e.g., garnishment orders, legal notices) forimmediate attention.• Maintain an organized mail log and ensure proper routing to appropriate team members.Garnishments• Code incoming garnishment orders in accordance with established departmentprocedures.• Upload coded garnishment documents into the payroll system accurately and in a timelymanner.• Flag any discrepancies or incomplete orders for review by the Payroll Coordinator orManager.Verifications of Employment (VOEs)• Code incoming VOE requests per department guidelines.• Distribute VOE requests to the appropriate team member or complete straightforwardrequests independently as directed.• Complete routine VOEs under the supervision of the Payroll Coordinator, includingstandard employment and income verifications.• Maintain an accurate log of all VOE requests received and their status.General Administrative Support• Maintain organized physical and electronic filing systems for payroll documents.• Assist with scanning, copying, and archiving payroll records as needed.• Support the payroll team with ad hoc clerical tasks assigned by the Payroll Manager.• Uphold strict confidentiality of all employee and payroll-related information.Qualifications:• Currently enrolled in or recently graduated from an Associate’s or Bachelor’s degreeprogram in Accounting, Business Administration, Finance, or a related field.• Strong attention to detail and commitment to accuracy.• Proficiency in Microsoft Excel and general Microsoft Office applications.• Ability to handle confidential information with discretion and professionalism.• Strong organizational skills and the ability to manage recurring daily and weekly tasks.• Dependable, punctual, and able to work independently with minimal supervision.• Prior office or administrative experience is a plus but not required.
