Operations & Procurement Manager We are hiring an Operations & Procurement Manager (Part-Time) to support procurement, billing, scheduling, and daily operations for a growing luxury interior design firm.This is a high-responsibility role for someone who is extremely organized, detail-oriented, and capable of working independently. You will play a key role in keeping projects on track, daily operations and schedules, managing purchasing, and ensuring accuracy across all orders, deliveries, and billing.Key Responsibilities:• Manage all procurement, including requesting estimates, preparing purchase orders, and coordinating with vendors • Track all purchased items, deliveries, and project timelines with a high level of accuracy • Inspect, photograph, and label materials received at the office and maintain organized project records • Visit job sites to verify that large deliveries (tile, plumbing fixtures, etc.) arrive in good condition • Create and maintain detailed delivery logs and coordinate handoffs with contractors • Oversee billing, invoicing, and financial tracking to ensure projects are up to date • Manage calendars, including scheduling client meetings, Principal travel schedule and, internal coordination, and ongoing project timelines • Support leadership by helping manage daily scheduling and priorities • Communicate clearly with project managers, vendors, clients, and construction teams regarding timelines and deliveriesWork Style & Expectations:This role requires a high level of responsiveness, efficiency, and ownership. Our projects move quickly, and maintaining momentum is essential to delivering a seamless experience for our clients.We are looking for someone who is able to prioritize effectively, manage their time well, and execute tasks with both speed and accuracy. A strong focus on efficiency and timely execution is critical, as this role plays a key part in keeping projects on track and moving forward.This is a part-time role with defined weekly hours, so the ability to work efficiently and deliver within that time frame is essential.Qualifications:• Proven experience with billing, invoicing, and financial tracking • Strong organizational skills and exceptional attention to detail • Ability to take ownership, solve problems, and work independently • Experience in construction, interior design, or a related industry preferred • Experience with procurement, vendor coordination, and FF&E pricing is a plusTechnical Skills:• Proficiency with digital tools and systems • Experience working with billing and invoicing platforms (QuickBooks, Xero, or similar preferred) • Comfortable using AI tools such as ChatGPT to improve workflow and efficiency • Adaptable and open to learning new technologies and systems (experience with tools such as Programa or similar platforms is a plus)Work Structure:• Compensation based on experience ($30–$35/hour range) • Part-time: approximately 24–30 hours per week • Hybrid schedule: approximately 2 days in-office and 1 day remote per week (flexible based on workload) • Flexibility is required around project deadlines and deliveries • Cell phone allowance • Parking provided or reimbursed • Company-provided computer • Paid onboarding and training • Opportunities for growth and increased responsibilityWe are looking for someone who takes full ownership of their role, stays ahead of tasks, and ensures nothing falls through the cracks without needing constant reminders.To apply: Please send your resume and a brief introduction to pcalasich@kasamiainteriors.com
