HUMAN RESOURCES ADMINISTRATIVE ASSISTANT

DescriptionPURPOSEThe purpose of the Human Resources Administrative Assistant is to provide administrative and operational support to the Human Resources department by assisting with onboarding, recordkeeping, scheduling, and employee communications. This role helps ensure accurate documentation, compliance with employment regulations, and effective support of HR processes across the organization.ResponsibilitiesWelcome new employees by conducting orientations and processing new hire documentation, and ensure new employee checklists are completedMaintain accurate employee records by entering and updating employment and status-change information in the HR management system (HRMS)Support the recruitment process by posting job openings and closing when filledMaintain personnel files in accordance with organizational and record retention standardsProvide administrative and clerical support, including document preparation, filing, answering phones, relaying messages, and maintaining office suppliesServe as a point of contact for employees, department managers, and job applicants by providing information and assistance as neededAdminister employment-related tests and assist with scheduling HR appointmentsAdd employees to DMS system as neededContribute to overall team effectiveness by assisting with additional HR tasks as assignedRun and file reports as neededUnderstand and comply with federal, state, and local employment laws and regulations, including but not limited to EEOC, ADA, COBRA, FLSA, IRS, and applicable tax and reporting requirementsAttend scheduled meetings and training sessions as requiredPerform other duties as assigned by the Human Resources Director or leadershipRequirementsQUALIFICATIONSStrong computer skills, including the ability to create and maintain spreadsheets, tables, and documentsKnowledge of or familiarity with the automobile industry and dealership operations preferredEffective problem-solving and organizational skillsStrong verbal and written communication abilitiesHigh attention to detail with the ability to manage multiple priorities and meet deadlinesAbility to adapt to changing employee and organizational needsProfessional demeanor with strong customer service and interpersonal skillsCommitment to diversity, equity, and inclusion principlesAbility to work under pressure amid interruptions and time-sensitive deadlinesHigh School Diploma or equivalent requiredFluent in English and Spanish, including speaking, reading, and writingWORKING CONDITIONSThe Human Resources Administrative Assistant works primarily in an office environment, spending extended periods at a desk using a computer, phone, and standard office equipment. The role requires frequent interaction with employees and management and may involve managing multiple tasks simultaneously in a fast-paced environment.
