Smartsheet PMO Specialist / Project Management Analyst Position Overview We are seeking a highly experienced Smartsheet PMO Specialist to lead the design, configuration, implementation, and governance of Smartsheet solutions for our Project Management Office (PMO). This role will act as the central hub for coordinating cross-functional initiatives while transforming how projects are managed through scalable, efficient processes. This position requires hands-on Smartsheet expertise, with a strong focus on building and deploying solutions, standardizing workflows, and enabling organization-wide adoption through training and change management. Key Responsibilities Smartsheet Configuration, Implementation & GovernanceDesign, configure, and deploy Smartsheet solutions including project plans, workflows, dashboards, forms, and automationsLead full lifecycle Smartsheet implementations, from design through rollout and adoptionEstablish and maintain governance frameworks to ensure consistency, scalability, and best practicesManage system structure, permissions, and data integrity across Smartsheet environments Project & Workflow OptimizationBuild, manage, and optimize project plans, workflows, and dashboards to improve visibility, collaboration, and accountabilityDevelop standardized processes for project intake, prioritization, and executionCreate scalable solutions that support cross-team and cross-functional collaborationIdentify opportunities to enhance efficiency and streamline project management operations Reporting & Performance InsightsEstablish reporting frameworks and dashboards to monitor project performance and portfolio healthProvide insights into resource utilization, timelines, risks, and project effectivenessEnable data-driven decision-making through clear and actionable reporting Training, Adoption & Change ManagementLead training and enablement efforts, ensuring teams are proficient in Smartsheet tools and processesDevelop training materials, documentation, and best practices guidesDrive change management initiatives to support adoption of new processes and toolsAct as a subject matter expert and primary point of contact for Smartsheet-related needs PMO Coordination & Stakeholder EngagementServe as a central coordinator for key initiatives, ensuring alignment and progress trackingPartner with stakeholders to translate business requirements into Smartsheet solutionsSupport continuous improvement of PMO practices and tools Qualifications Required3-5+ years of hands-on Smartsheet experience (core requirement)Proven expertise in Smartsheet configuration, design, and implementationStrong experience building dashboards, workflows, automations, and reporting solutionsExperience with Smartsheet governance and best practicesDemonstrated ability to train and enable teams on Smartsheet usageSolid understanding of project management methodologies and toolsStrong organizational, analytical, and communication skills Highly DesiredSmartsheet CertificationExperience with Change Management principles and executionProven experience leading Smartsheet deployments and rolloutsExperience designing scalable PMO processes and frameworks Preferred / Nice to HaveExperience working in philanthropic or nonprofit environmentsFamiliarity with charitable giving vehicles, such as donor-advised fundsCertifications such as:PMP (Project Management Professional)Agile / Scrum certificationsChange Management certification Success in This Role Looks LikeA well-governed, scalable Smartsheet environment supporting the PMOHigh adoption of standardized project management processes across teamsImproved project visibility, reporting accuracy, and delivery outcomesTeams enabled and confident in using Smartsheet effectively Everforth Apex is a world-class IT services company that serves thousands of clients across the globe.
