  • This position will support Facility and Asset Management projects and initiatives for DHL's Corporate Real Estate (CRE) Americas.
  • This entails the management of Lease documentation and the abstracting of commercial leases.
  • Competency in IT systems is critical as this role utilizes several technological platforms.
  • It also ensures leases comply with internal policies and procedure, federal regulations, local laws and governing documents.
  • The main focus of this position is to execute, analyze and deliver Lease Administration technological initiatives and translate findings into key goals and revenue targets to enable the accurate, efficient analysis, access and visualization of real estate lease information.
  • You must be bilingual (English and Spanish).
  • Work with all CRE functions (e.g. facilities Management, Asset Management, Transaction Management, Business Development & Construction) in the design, execution and delivery of key projects and initiatives pertaining to lease administration
  • Prepare and/or edit lease abstracts for accuracy
  • Review and/or approve rent payments
  • Arrange rent payments and rent receipts with accounting
  • Recover and reconcile tenant improvement allowance
  • Coordinate execution of all real estate related documents
  • Review and approve all rent steps, percentage rent and escalation billings from Landlords
  • Prepare occupancy costs budgets and all variance reports
  • Manage the Real Estate databases and ensure the accuracy and integrity of its information
  • Provide technology training to colleagues, and customers as needed
  • Track & report on renewals, closures and relocation
  • Conduct Operating Expense audits and negotiate audit findings with client and its landlord to ensure sufficient credits and appropriate charges are made.
  • Conduct financial analysis of accounting as appropriate, including AR/AP, rent rolls, and budgets in accordance with required accounting principles
  • Provide support to finance and accounting as required
  • Complete CRE Research & Development on competitors, to understand changing trends in the corporate real estate and logistics industry
  • Propose and implement creative, innovative solutions for the CRE LA team and internal customers increasing accuracy and efficiency, and also reducing spend.
  • Supports and execute program designed and ensure everyone in the LA team is working to increase accuracy and efficiencies, reduce redundancies, and spend for the customers/regionCompetencies
  • Handle broad range of CRE work - some admin, but sometimes complex and non-routine requiring more background research, e.g. abstracting, compliance and finance
  • Handle and resolve typical, not too complex issues independently
  • Provide technical CRE guidance to colleagues, customers, line managers and employees
  • Strong Lease administration and abstraction skills
  • Strong IT background with expertise in the area of Real Estate
  • Knowledgeable in Commercial Real Estate disciplines, services and business processes
  • Solid knowledge of real estate platforms, terminology and principles
  • Applies real estate knowledge and best practices to solve challenges
  • Completes work independently making own decisions when it comes to typical tasks or issues
  • Understands customer and project sponsor interests and concerns
  • Identifies areas of potential conflict within projects and address as needed
  • Good oral and written communication skills.
  • Puts points across clearly and concisely
  • Understands the concerns and needs of others and collaborates to ensure successful outcome
  • Strong Project management skills to ensure smooth operational delivery.
  • Prepares and tracks project plans by compiling tasks, costs, timelines and resource requirements
  • Strong financial skills, maintains all required financial records for compliance and audit.
  • Ability to identify and develop opportunities to reduce costs or grow revenue
  • May have responsibility for multiple or a specific business, area/team or servicesQualifications
  • Relevant University Degree e.g. in Commercial Real Estate, Engineering, and/or IT
  • Bilingual: English/ local language as needed
