  • The Materials Manager leads HMC Surgical Services in the documentation, development, implementation, and management of systems to manage perioperative materials, support strategic sourcing and value analysis, oversee procurement operations, capital budget, budget maintenance and manage vendors in alignment with enterprise standards.
  • This position serves as liaison for internal and external stakeholders to ensure clear and efficient communication based on subject matter expertise for surgical services.
  • This position is expected to work within matrixed organization and support levels and collaborate with units that have different goals, cultures and other attributes that will require flexibility, excellent judgement, strategic communication, and critical thinking skills.
  • The Materials Manager contributes to the financial viability of the Hospital through the management of surgical supplies ensuring availability to complete surgical procedures.
  • Provide leadership and direction for daily business operation activities in conjunction with the Director of Surgical Business Operations, supervisor, and leads
  • Coordinate contracts and review of monthly budget variance reports
  • Development of departmental capital and operational budgets in conjunction with the Business Director
  • Mitigation of spending overages
  • Daily management of inventory functions and manage resources effectively to cover priority needs
  • Responsibility for all 2.5+ million dollars in surgical services implants and tissue.
  • Ensure all needed implants and tissue are available for patients when needed
  • Responsibility for oversite of daily ordering, inventory, and filling of all implant sets
  • Coordination of vendor implants and consignment inventory
  • Responsibility for oversight and maintenance of all surgical services supply inventory and ensure proactive identification of inventory issues
  • Responsibility for collection and organization of data to evaluate and optimize supply management operations
  • Maintain oversight of perpetual and annual inventory
  • Initiate, implement, and evaluate appropriate CQI activities in the Department
  • Play lead role in the preparation and process of regulatory surveys related to tissue, implants, and supplies
  • Monitor staff performance, consistently complete annual evaluations, and competencies
  • Mentor, coach, train, and develop staff
  • Monitor the time sheets for assure accuracy, approval, and timely submission
  • Review staff requests for time off including vacation and CE requests and ensure appropriate coverage
  • Follow medical center hiring policies and procedures to fill vacant positions
  • Create an environment that is conducive to staff support, growth, and satisfaction
  • Maintain all personnel files, leave records, etc.
  • Ensure that Surgical Services business issues are addressed in the development of larger HMC policies, procedures, and standards
  • Ensures HMC participation in Leapfrog and other data registries, participate in Surgical Council and Surgical Services Operations Committee
  • Responsibility for OR Stores and staff, Implant Room and staff, maintenance of purchasing, vendor contracts, and related work within the department.
  • Manage perpetual inventory for Surgical Services.
  • Oversee inventory to maximize efficiency in the implant room and central core including stock and non-stock supplies and consignment inventory.
  • Analyze data and create reports to streamline inventory management.
  • Collaborate with physicians, RN3's and support staff to evaluate new products; maintain policy and procedure and ensure that all evaluations are administered according to enterprise guidelines.
  • Support the maintenance of inventory control system (ensure accuracy of product line, proper level of stock, rotation of product, cleanliness of product/carts, accuracy of inventory charging and timeliness of product returns post procedure).
  • Represent perioperative leadership on multiple committees to evaluate products.
  • Prepare and present recommendations to all management levels based upon analysis.
  • Oversee, develop, standardize, and improve processes to manage perioperative material acquisition and equipment needs of Surgical Services.
  • Actively participate as Surgical Services liaison between supply chain, clinical engineering, sterile processing, facilities, etc., to resolve any supply-related discrepancy.
  • Participate as a member of the Surgical Services leadership team in planning, policy formulation, and decision making.
  • Coordinate with leaders of Surgical Services, Central Processing, Facilities, Environmental Services and Clinical Engineering departments to ensure access to and safe operation of equipment and supplies.
  • Collaborate with the Director of Business Operations to set and achieve annual goals for the department.
  • Ensure efficiency in implementing all new products into various systems and collaborating with stakeholders.
  • Support Physicians and other health care provider peer groups in their standardization efforts.
  • Ensure product information such as backorders and substitutions are effectively communicated with stakeholders.
  • Support accuracy of medical center procedure cards by actively collaborating with service line coordinators to removal obsolete supply items and updating with recent supply conversions.
  • Maintain current product catalogues and vendor systems.
  • Ensure vendor compliance to policies and procedures.
  • Participate in all Internal Audit requests.
  • Responsible for review and action on RASMAs recalls.
  • Daily order approvals for Surgical Services budgets.
  • Oversee annual inventory in collaboration with finance.
  • Consult with staff, surgeons, and anesthesia providers on supply and equipment needs and standards in alignment with the value analysis processes.
  • Perform financial analyses of new products requests.
  • Analyze data and create reports to streamline inventory management and control.
  • Provide analytical support (financial and utilization), volume forecasting and compliance monitoring for supply and equipment utilization.
  • Support the effort in meeting fiscal budgets and financial consignment targets, and to identify cost savings opportunities for materials.
  • Proactively manage vendor relationships.
  • Review contracts, submit revisions to Supply Chain Management based on review of volumes, financial impacts, and relevance to core business/mission.
  • Supervise allocation of expenses for implants, supplies, and repairs.
  • Ensure availability of supplies to meet patient care needs in a timely cost-effective manner.
  • Regularly review workflows and supply utilization to optimize productivity and cost-effective use of resources.
  • Use data to drive decision-making.
  • Identify areas of opportunity for cost savings and coordinates with Surgical Services Leadership on planning, cost analysis, and justification.
