  • Associations International (AI) is an association management company based in Lexington, KY, who partners with non-profit trade and career associations like ISPA in a consulting-client relationship.
  • Our job is to help those non-profits meet their mission and grow their membership through the work of our talented, dedicated team of professionals.
  • As the Conference Coordinator, you will work closely with our rockstar team to plan a stellar yearly conference.
  • Coordinate and serve as the lead planner for the ISPA Conference.
  • Monitor host hotel room blocks for the ISPA Conference and board meetings.
  • Track hotel related data including room night pickup, hotel rates, and hotel data Assist with development of event budget and manage budget tracking functions.
  • Prepare events-related updates for board meeting materials as assigned.
  • Coordinate and oversee food and beverage functions, room sets, A/V orders, etc.
  • for events as well as onsite fulfillment of the orders.
  • Create room set diagrams for events.
  • Prepare meeting planner guides for staff prior to ISPA events to include event logistics, contact information, production schedules, etc.
  • Develop internal and external checklists and timelines which shall include all deliverables, expectations and tasks associated with ISPA events.
  • Serve as a liaison between ISPA and third-party partners to help reconcile invoices and request payments in a timely fashion.
  • Work with ISPA’s General Service Contractor to coordinate all aspects of the expositions, including move-in schedules, exhibitor install and dismantle, move-out, and exhibitor activities.
  • An undergraduate degree.
