  • Full Job Description
  • The Chief Operating Officer reports to the Executive Director and is responsible for the day-to-day operations of the agency.
  • The Chief Operating Officer has primary responsibility for the management of organization, with particular emphasis on business operations including accounting, finance, HR, office administration, and, serving as state licensing administrator, the quality of all programmatic services.
  • Will coordinate with the President to support the success of fundraising and development activities.
  • The Chief Operating Officer supports the mission, philosophy, and values of Boys Hope Girls Hope, and will follow the policies, procedures, and conditions outlined in the Affiliation Agreement, Program Manual, and Personnel Policy Manual of the organization.
  • Major Areas of Responsibility
  • Serve as the internal leader of the organization and provide for all team members an effective and inspiring day-to-day leadership presence
  • In collaboration with Executive Director develop a team-based environment to motivate and inspire staff to work cohesively and collaboratively toward vision and goal, by clearly communicating agency vision, providing leadership development, professional development, and mentoring.
  • Delegation of duties and projects in an effective and orderly manner
  • Ensures that each member of the office and department heads understand inter-departmentally their work and support of each other.
  • Ensure proper screening, orientation, supervision, evaluation training, and certification for all staff and volunteers.
  • Recruitment of volunteer services and contributed materials in a manner which fosters continued support.
  • Business and Operations Management
  • Ensures the maintenance, security and accuracy of all records, including financial, personnel, and program, as required for program operations
  • Responsible for the proper stewardship of agency resources Responsible for the physical assets of the organization (maintenance, insurance, acquisition, and disposal)
  • Oversee affiliate technology and ensure capability to meet affiliate needs.
  • Manage external vendor relations and ensures that all contracts and licensing agreements are up-to-date and in full compliance.
  • Work with the Executive Director on incorporating the Performance Management Tool within the affiliate s day-to-day operations and support board reports of findings and plans for improvement, oversight of improvement plan and provides Board with regular updates.
  • Ensures necessary data is provided to Network Headquarters for demographic statistics and program evaluation
  • Oversee and understand network data systems for hiring/volunteer management/development and program participant management.
  • Formulates annual budget with the Executive Director for approval by the Board of Directors, approves expenditures, and monitors expenses and income to maintain operations within all budget categories
  • Recommends to Executive Director policies and practices for internal fiscal control and adherence to all accounting, record keeping, budget, audit, investment and reporting procedures and requirements
  • Responsible for affiliate s compliance with regulations and standards for Federal 501(c) 3 and state tax-exempt status and with state fundraising regulations.
  • Governance Board Support
  • Provide the Board with all materials and information necessary to carry out their governance, and planning, especially with regard to practice and policy including the Boys Hope Girls Hope Policy Manual, Articles of Incorporation, By-Laws, and Affiliation Agreement
  • Report to the Board the operational health of the agency.
  • As a member of the administrative Team, work with the Executive Director and board members in developing operating strategies to meet the goals of the strategic plan.
  • Maintain relationship with Network Headquarters, including timely communication of program and financial data
  • Attend board meetings, special events, team meetings and other related activities and program where the COO s presence may be needed.
  • Serves as the agency s administrator of record with state licensing authority, and ensure that a positive relationship is maintained with licensing authority
  • Knows and understands state licensing regulations and ensures the agency is in compliance with said regulations.
  • In consultation with program leaders, and the local Board and Program Committee, ensure that the affiliate is staffed in accordance with budget, personnel, and state licensing guidelines.
  • Maintains positive relationships with partner schools and agencies.
  • The position requires a proven ability to communicate effectively, work with diverse groups of people, manage staff and volunteers, and coordinate multiple responsibilities.
  • The ideal candidate will have experience in finance, staff management, familiarity with youth programs, knowledge of the local charitable community, and a track record of effective management and program organization.
  • Minimum 5 years of management experience.
  • BA in Administration, Management, or related field required, MA preferred.
  • State licensing requirements may call for additional qualifications
