  • Position Summary: The primary role of the Administrative Assistant is to handle administrative tasks to support the Private Brand business team for a specific line of business.
  • This person must be able to work well independently and collaboratively, while multi-tasking and problem solving in a thriving, fast-paced environment.
  • - Ensure order accuracy in Suppliers’ systems and the customer’s system, validate correct items, quantities, prices, and delivery dates.
  • - Trace lost shipments, resolve problems with orders and products on a timely basis and appropriately communicate to the business manager and buyer.
  • - Ensure price, quantity, or other changes/cancellations of purchase orders are processed.
  • - Understand the customer’s buying process and order flow with each represented principal to ensure that all orders are being captured in the system on a timely basis.
  • Support team by collecting, completing and routing New Item forms and any other required materials as needed.
  • Collaborate with team to draft internal and external communications, including letters and email.
  • Compile information, follow-up and track open issues.
  • Track consumer complaints and assist with resolution.
  • Maintain effective procedures for avoiding deductions, wherever possible, between the customer and represented suppliers.
  • Assist in the prompt resolution of deductions incurred, and in recouping related brokerage deductions.
  • Reconcile invoices as needed for validation and billing.
  • Build and maintain accurate document repository of easily accessible records and files.
  • Manage administrative functions as requested
  • Assist in other projects as assigned.
  • Comparable job experience would be prefer; Bachelor's degree a plus.
  • Prefer at least 3-5 years of experience in retail environment, preferably in Merchandising, Planning, Order Management or in a similar role.
  • Excellent computer and communication skills along.
  • Strong organization and time management skills.
  • Sense of urgency and ability to multi-task effectively

  • Work Environment: It is enclosed in an office facility that maintains normal temperatures.
  • Noise level is at a minimum.
